The Opportunity

We are seeking an experienced Payroll Assistant to provide remote payroll support for our 400+ employee base across aged care, OOSH, and community services.

This role requires deep familiarity with Australian Modern Awards (particularly SCHADS and Childrens Services Award), Australian payroll tax, superannuation, and leave entitlements. You will work closely with our Sydney-based Senior Payroll Officers via BambooHR and MS Teams.

This is a high-responsibility role suited to someone with proven Australian payroll experience who thrives in a fast-paced, deadline-driven environment.

Core Responsibilities

  • Fortnightly Payroll Processing
  • Process fortnightly payroll for 400+ employees using BambooHR (payroll system) — validate timesheets, rostered hours, leave requests, and allowances.
  • Apply correct award classifications and pay rates under SCHADS Award (aged care, community services) and Childrens Services Award (OOSH educators).
  • Calculate and process penalty rates, shift loadings, overtime, higher duties, and sleepover allowances as per award provisions.
  • Process leave applications (annual leave, personal leave, long service leave, purchased leave) and update leave balances.
  • Validate and process termination pays, including final leave payouts and notice period calculations.
  • Generate and review draft payroll reports pre-submission — identify anomalies, flag discrepancies, and resolve with local payroll team.
  • Award Compliance & Entitlements Management
  • Maintain up-to-date knowledge of SCHADS Award and Childrens Services Award provisions — including recent Fair Work updates and pay point progressions.
  • Apply correct pay point increases based on tenure and performance review cycles (coordinate with local HR team).
  • Calculate and process backpay adjustments for award rate changes, pay point progressions, or system errors.
  • Monitor and maintain employee entitlement balances — ensure accuracy of accruals for annual leave, personal leave, and long service leave.
  • Prepare and maintain award interpretation documentation for common scenarios (e.g., sleepover vs. shift, casual conversion, part-time vs. casual loadings).
  • Superannuation & Payroll Tax
  • Process fortnightly superannuation contributions via SuperStream — validate employee super fund details and contribution rates.
  • Reconcile superannuation clearing accounts monthly and prepare employer contribution files for payment.
  • Calculate payroll tax liability and prepare monthly payroll tax returns for NSW Revenue (coordination with local payroll team).
  • Maintain payroll tax exemption records for eligible community services employees.
  • Onboarding & Employee Master Data
  • Process new hire payroll setup in BambooHR — validate TFN declarations, super fund choices, banking details, and award classifications.
  • Update employee master data for role changes, pay rate adjustments, super fund changes, and banking updates.
  • Maintain audit trail for all payroll master data changes.
  • Payroll Reconciliations & Reporting
  • Prepare payroll reconciliation reports — gross pay, PAYG, super, net pay, and payroll tax.
  • Reconcile payroll GL postings in MS Dynamics Business Central to BambooHR payroll registers.
  • Prepare ad hoc payroll reports for management, HR, and finance (e.g., cost centre analysis, headcount by award, leave liability reports).
  • Support external audits by providing payroll schedules, reconciliations, and supporting documentation.
  • Employee Queries & Support
  • Respond to tier-1 payroll queries from employees via email — pay slip questions, leave balance queries, super contribution confirmations.
  • Escalate complex or sensitive payroll issues (disputes, award interpretation questions, underpayment claims) to Senior Payroll Officer.
  • Maintain accurate records of all employee payroll queries and resolutions.

Skills & Experience

  • Minimum 5 years experience processing Australian payroll for 200+ employees.
  • Demonstrated expertise in SCHADS Award and/or Childrens Services Award (or similar complex Modern Awards).
  • Strong knowledge of Australian payroll tax, superannuation (SuperStream), and Single Touch Payroll (STP) compliance.
  • Proficiency in BambooHR, KeyPay, ADP, Employment Hero, or similar Australian payroll systems.
  • Experience working with aged care or childcare organisations is highly desirable.
  • Advanced Excel skills — payroll reconciliations, pivot tables, VLOOKUPs, data analysis.
  • Excellent written and spoken English — ability to communicate clearly with employees and escalate complex issues to local team.
  • Experience working in offshore payroll support teams for Australian clients strongly preferred.
  • Comfortable working AEST-aligned hours to support fortnightly payroll cycles.

Work Schedule: Monday - Friday, 7:00 AM - 4:00PM Manila Time

Work Setup: Home-based
