Key Responsibilities

Financial Operations & Accounting

  • Operate and maintain Xero accounting system with high accuracy
  • Process accounts payable (AP) end-to-end, including invoice verification, approvals, and reconciliations
  • Implement and enforce AP controls, including segregation of duties and payment authorisation processes
  • Prepare and process batch payments through banking platforms
  • Ensure all transactions are accurately coded to jobs, cost centres, and general ledger accounts
  • Maintain clean, auditable financial records and reconciliation

Financial Controls & Policies

  • Design, implement, and maintain financial controls across the business
  • Draft, review, and maintain financial policies and procedures (AP, approvals, expenses, budgeting, job costing, etc.)
  • Support audit readiness by ensuring documentation and controls are consistently applied

Budgeting & Financial Reporting

  • Prepare and manage weekly budgets, pulling live data from Xero
  • Develop and maintain corporate budgets based on invoices, expenses, and forecasted costs
  • Monitor budget vs actuals and report variances to management
  • Support cashflow planning and expense forecasting

Letters of Credit & Banking Support

  • Draft, review, and approve Letters of Credit (LCs) in coordination with the bank
  • Ensure LC terms align with commercial contracts and shipping documentation
  • Track LC usage, amendments, expiry dates, and compliance requirements
  • Liaise with internal stakeholders and banking partners as required

Logistics & Trade Documentation Support

  • Support management of import/export documentation, including: ○ Bills of Lading ○ Packing Declarations ○ Certificates of Origin ○ Packing Lists ○ Commercial Invoices
  • Ensure documentation aligns with Letters of Credit, supplier invoices, and job files
  • Maintain organised, complete, and consistent job files

Job Costing & Job Tracker Management

  • Maintain and update the job tracker with accurate financial and documentation status
  • Ensure all job-related invoices, costs, and documents are correctly filed and linked
  • Support accurate job costing and profitability analysis

Commercial & Quoting Support

  • Support job quoting by providing cost data, margins, and historical financial information
  • Assist management with pricing analysis and cost breakdowns

Work Location

  • Home-based
  • Should have strong internet connection (minimum of 20 mbps)
  • Should have own Laptop/PC (minimum of i5 8GB RAM)
