About The Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to work directly with the Founder and support day-to-day business operations. This role is ideal for someone who thrives in a fast-paced environment, takes ownership of tasks, and consistently delivers high-quality work with accuracy and efficiency.

This opportunity goes beyond traditional executive support by offering long-term career development into finance, compliance, and operational management. The successful candidate will initially focus on executive and administrative support functions while gradually expanding into finance-related responsibilities through direct mentorship and hands-on training.

Key Responsibilities

Executive Support

  • Manage executive calendar, scheduling, and meeting coordination
  • Oversee inbox management and handle professional email correspondence
  • Coordinate travel arrangements and scheduling logistics
  • Take detailed meeting notes and ensure follow-through on action items

Administrative Operations

  • Perform accurate data entry with strong attention to detail
  • Organize and maintain digital files using cloud-based systems
  • Ensure proper documentation storage in compliance with internal security protocols
  • Prepare presentations, reports, and administrative documents as required

Business Operations Support

  • Coordinate communication with external vendors and service providers
  • Assist with billing, invoicing, and follow-up on outstanding items
  • Conduct research and provide operational support on various business projects
  • Assist with presentation formatting and basic administrative support tasks as needed

Growth & Development Opportunities

  • Payroll support and reporting processes
  • Tax documentation preparation and compliance administration
  • Bank reconciliations and financial record management

Qualifications & Requirements

Required Skills & Experience

  • Exceptional attention to detail and commitment to accuracy
  • Strong organizational and time management skills
  • Excellent written and verbal English communication skills
  • Ability to work independently with minimal supervision
  • Strong problem-solving and research skills with a proactive mindset
  • High level of professionalism, integrity, and confidentiality
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to manage multiple priorities in a remote work environment
  • Available to start within approximately 30 days

Preferred Qualifications (Nice to Have)

  • Exposure to accounting software such as Xero or MYOB
  • Background in accounting, banking, legal, or professional services
  • Experience supporting executives or senior leadership teams
  • Strong academic background is an advantage but not required
