Job Description:
The CRM Support role provides administrative, coordination, and systems support to Client Onboarding and Client Relationship Management functions. This includes managing onboarding workflows, maintaining CRM accuracy, tracking documentation, supporting document collection and review, and ensuring smooth internal communication. The role focuses on accuracy, timely follow-ups, and consistent execution of operational processes across the onboarding lifecycle.
Responsibilities
Client Onboarding Function:
Draft initial administration agreements based on approved proposals, and prepare addendums reflecting agreed service changes, ensuring compliance with internal policies and procedures.
Facilitate the exchange and alignment of agreement comments between external parties and internal teams, tracking outstanding items to ensure timely resolution.
Coordinate and manage all Provided-by-Client (PBC) follow-ups for new fund implementations.
Follow up on outstanding items and coordinate internal meetings with relevant teams to ensure items are dealt with in a timely manner.
Coordinate and schedule all onboarding-related meetings, including calls with the VP of Operations, internal management teams, and clients, ensuring availability alignment, agenda preparation, and timely communication.
Set-up initial client folders and save onboarding documents (proposal, acceptance form, agreements, DDQ, PBC lists) in the correct structure.
Perform reconciliations between CRM data, onboarding trackers, and operational systems to ensure accuracy and completeness.
Client Relationship Function:
Update the CRM database to reflect services, contract details, and any subsequent changes.
Maintain internal tracking and planning workflows for onboarding and offboarding.
Organize and maintain digital client folders, ensuring required documents are stored,
version-controlled, and accessible.
Ensure approved template usage across all onboarding email communications and
maintain the library of CRM templates.
Monitoring offboarding procedures to ensure clients & funds are removed from systems and databases in a timely manner.
Qualifications:
Experience in a CRM or Onboarding role
Industry knowledge (Fund Administration, Hedge Funds, Private Equity Funds)
Background in fund accounting is a plus
Background in legal education, legal executive, or business management
Background in drafting, agreement, and documentation updates
Excellent interpersonal skills
Proficient in MS Office
Ability to work well with a team
Must be well organized and controls-driven
Solid time management skills, the ability to multitask and see the big picture
Work Schedule: Monday to Friday, 10pm - 7am Manila Time
Work Arrangement: Home-based
Should have strong internet connection (minimum of 50 mbps)
Should have own Laptop/PC (minimum of i5 8GB RAM)
