Job Summary
We are seeking a proactive, reliable, and resourceful Clinical Administrator to provide comprehensive administrative and client-facing support for a busy medical aesthetics and IV therapy practice. The ideal candidate will be enthusiastic, detail-oriented, and eager to learn, with a strong sense of ownership and an ability to thrive in a fast-paced, client-centric environment. Medical or clinical experience is a plus but not required. You will play a key role in ensuring seamless daily operations, exceptional customer experience, and consistent follow-up with clients.
Key Responsibilities
Frontline client communications: Answer inbound calls, respond to client inquiries, and manage scheduling of appointments for multiple locations, ensuring prompt and courteous service and follow-through.
Client check-ins and follow-ups: Reach out to clients post-treatment (e.g., via call or text) to assess well-being and satisfaction, and when appropriate, request Google reviews.
Manage daily and ad hoc administrative tasks, including but not limited to:
Updating and managing spreadsheets (e.g., expenses and client records) for the bookkeeper
Data entry, document preparation, and report generation
Coordinating with suppliers or other external vendors as needed
Supporting website-related tasks and sending updates to clients as directed
Assist with email management, calendar management, and staff coordination as needed.
CRM/data management: Maintain up-to-date notes and client information in the relevant platform to ensure team awareness and continuity of care.
Performance tracking: Contribute to ongoing improvement by participating in regular performance reviews and acting on feedback.
Team collaboration: Work closely with the team, participate in virtual meetings/check-ins, and be available via company communications tools (e.g., Slack, WhatsApp, Gmail) during working hours.
Flexibility to support coverage during periods when client volume is lower, managing downtime productively.
Contribute to training documentation for future hires and provide feedback on improving onboarding processes.
Requirements:
Minimum 2 years of relevant administrative support or client service experience; healthcare/medical experience highly valued.
Outstanding communication skills in English; friendly, clear, and empathetic.
Proven reliability, initiative, and a positive, can-do attitude.
Experience with call handling systems; knowledge of Grasshopper, 8x8, Call Hippo, or similar is an advantage.
Proficiency with office software (Google Workspace, spreadsheets, etc.).
Ability to learn new processes, adapt to evolving needs, and work with minimal supervision.
Excellent organizational, multitasking, and time management abilities.
Trustworthy and committed to client privacy/confidentiality.
Comfortable working Mountain Time (MST) hours; willingness to work weekends or adjust schedule as business demands.
Willingness to undergo a background check and provide references.
Preferred
Medical, clinical, or healthcare background
Experience working with North American clients
Familiarity with CRM platforms and website operations
Work Schedule:
Monday to Friday, 12 am - 9 am Manila Time
