Role Overview

We are looking for a numbers-focused Bookkeeper / Admin Assistant to support our finance and operations team. The role is responsible for day‑to‑day bookkeeping in Xero and a range of general administrative tasks, ensuring accurate records and smooth internal processes.

You will work closely with our Sydney team, so the ability to align with Australian business hours and communicate clearly and promptly is essential.

Key Responsibilities

  • Bookkeeping (Xero)
  • Process and maintain payroll in Xero
  • Upload and code bills and invoices into Xero
  • Create and manage purchase orders
  • Assist with reconciliation and basic review of transactions
  • Maintain accurate and up‑to‑date financial records
  • HR / Admin Support
  • Onboard new employees, including:
  • Collecting documentation and employee details
  • Entering data into systems / templates
  • Maintain staff and subcontractor records as required
  • General Administration
  • Prepare and format letters, memos, and business documents
  • Draft simple reports, trackers, or summaries as needed
  • Perform ad hoc administrative tasks to support day‑to‑day operations
  • Coordinate with the Sydney team via email, chat, and video calls

Requirements Must-Have

  • 1-3+ years experience in bookkeeping and/or admin support (more senior levels can be defined as 3-5+ years / 5+ years)
  • Demonstrated experience using Xero (or similar cloud accounting software, with willingness to quickly learn Xero)
  • Strong comfort with numbers and basic understanding of accounting concepts
  • Good attention to detail and accuracy in data entry and documentation
  • Strong English communication skills (written and verbal)
  • Ability to work independently, manage daily tasks, and meet deadlines
  • Reliable internet connection and suitable home office setup (quiet environment, backup connectivity, etc., if home‑based)

Nice-to-Have:

  • Experience working with Australian clients or in an Australian time zone
  • Experience in construction, contracting, or related industries
  • Prior experience supporting a remote team

Work Location

  • Home-based
  • Should have strong internet connection (minimum of 20 mbps)
  • Should have own Laptop/PC (minimum of i5 8GB RAM)
