Job Description

We are seeking a highly proactive Operations Lead to support the day-to-day operational execution across inventory planning, purchasing, supplier coordination, logistics, fulfillment, and ecommerce operations for a fast-growing DTC apparel brand.

This role is responsible for ensuring inventory is replenished on time, suppliers and freight partners remain on schedule, purchase orders progress smoothly, and inventory is accurately reflected across operational systems. The ideal candidate is highly organized, naturally proactive, and comfortable managing multiple operational workflows while maintaining visibility across suppliers, warehouses, and logistics partners.

Success in this role requires someone who consistently follows up, identifies operational risks before they become customer issues, and keeps inventory flowing efficiently across a global supply chain.

This is not a strategic supply chain leadership role. The Operations Manager will continue to own procurement strategy, forecasting decisions, and supplier negotiations. This position focuses on executing established operational processes, providing operational oversight, and continuously improving day-to-day execution.

Key Responsibilities

Inventory Planning & Procurement

• Review inventory forecasts and demand planning reports to support purchasing decisions
• Monitor inventory levels across Shopify and internal operational systems
• Identify products approaching stockout and escalate replenishment requirements
• Assist with purchase order preparation, review, and ongoing management
• Provide a second review of purchase orders before submission to suppliers
• Maintain inventory planning trackers and purchasing documentation

Supplier Coordination

• Act as the primary day-to-day contact for suppliers across multiple manufacturing partners
• Follow up on purchase orders, production timelines, samples, and shipment readiness
• Hold suppliers accountable through consistent communication and proactive follow-up
• Escalate production delays, shortages, or supplier risks to the Operations Manager
• Maintain organized records of supplier communications and outstanding action items

Logistics & Freight Coordination

• Coordinate inbound shipments from suppliers into global warehouses
• Follow up with freight forwarders to ensure shipments remain on schedule
• Track shipment progress and proactively resolve delays or operational issues
• Coordinate inventory movement across multiple warehouse locations
• Maintain visibility across inbound logistics and expected delivery timelines

Fulfillment & Ecommerce Operations

• Coordinate with multiple 3PL partners across Australia, the United States, and Europe
• Update ERP and Shopify as inventory is received into global warehouses
• Ensure inventory records remain accurate across operational systems
• Coordinate with internal teams to resolve fulfillment and inventory discrepancies
• Monitor day-to-day operational performance across fulfillment partners

Operational Support & Process Improvement

• Coordinate with the Finance team to ensure supplier invoices are processed on time
• Review purchase orders and supplier invoices for pricing discrepancies or unexpected cost changes
• Maintain operational dashboards, trackers, and documentation
• Recommend improvements to operational processes, systems, and workflows
• Leverage previous experience with ERP or inventory systems to identify opportunities to improve internal operational tools

Qualifications

Required

• Experience supporting ecommerce operations, supply chain operations, logistics, inventory coordination, or procurement
• Experience supporting DTC ecommerce brands
• Experience reviewing inventory forecasts or supporting demand planning processes
• Experience preparing, reviewing, or managing purchase orders
• Experience coordinating with suppliers, manufacturers, or overseas vendors
• Experience coordinating with freight forwarders and international shipments
• Experience working with Shopify or similar ecommerce platforms
• Experience working with ERP or inventory management systems
• Experience coordinating with 3PLs or fulfillment partners
• Strong organizational skills with the ability to manage multiple operational workflows simultaneously
• Highly proactive communication and supplier follow-up skills
• Strong attention to detail and operational accuracy
• Ability to identify operational issues early and proactively recommend solutions
• Ability to work independently and take ownership of recurring operational responsibilities
• Excellent written and verbal English communication skills

Preferred

• Familiarity with bookkeeping reconciliations, accounts payable, or finance operations
• Experience working with custom-built ERP or operational systems
• Experience supporting continuous improvement or operational optimization initiatives
