Brief Description

The Senior Speaker Bureau Coordinator for Verascity Science is responsible for overseeing the delivery of complex pharmaceutical speaker programs across multiple brands or clients. This role independently manages all aspects of program execution, ensures adherence to industry compliance standards, and provides guidance to junior coordinators. The position partners closely with pharmaceutical clients to anticipate needs, communicate progress, and ensure high-quality, compliant program delivery in a fast-paced environment.

Job Duties And Responsibilities

  • Support pharmaceutical clients from kickoff through close-out, anticipating needs and providing proactive, ongoing communication
  • Build and maintain strong, trusted relationships with speakers and serve as a primary point of contact and escalation
  • Lead end-to-end coordination of speaker programs (live, virtual, hybrid), overseeing speaker recruitment, travel, honoraria, and expenses, along with venue selection and management invitation generation, RSVP and calendar hold management, audiovisual requirements, and onsite or virtual execution.
  • Apply and reinforce SOPs and established processes to ensure consistent, compliant program execution
  • Ensures speaker compliance by managing onboarding, scheduling or delivering required content training, tracking contract and training expirations, and accurately documenting all training completion
  • Support content rollout to the sales force, and update relevant speaker program platforms and documents to reflect new content.
  • Partner with internal stakeholders to support program planning, execution strategy, and continuous improvement
  • Maintain accurate, up-to-date program data, speaker records, payments, and documentation to support compliance, reporting, and performance analysis
  • Ensure timely delivery of regular analytics and aggregate spend reports
  • Manage program budgets accurately and proactively, ensuring projects remain within approved scope and budget
  • Ensure clear, effective communication with clients, vendors, and internal teams to maintain alignment and support successful program delivery.
  • Provide day-to-day guidance to Speaker Bureau Coordinators, offering support on complex programs, reinforcing best practices, and helping ensure consistency and quality across program execution.

Requirements

  • Bachelor’s degree
  • 3+ years of meeting or event planning experience, with increasing responsibility for complex programs (pharmaceutical experience a plus, not required)
  • Demonstrated expertise in speaker bureau operations and compliance standards
  • Strong organizational and analytical skills with the ability to manage multiple complex programs simultaneously
  • Excellent written and verbal communication skills, including senior-level stakeholder interaction
  • Proficiency in Microsoft Office Suite and speaker bureau or meeting management systems
  • Ability to work independently, anticipate risks, and make sound decisions
  • Strong problem-solving skills and a continuous-improvement mindset
