What you'll do:
The Senior Executive Assistant provides high-level administrative and operational support to the CEO and Executive team, ensuring the smooth coordination of executive activities and the delivery of quality documentation, reports, and meeting materials for Board and Management. The role is responsible for managing calendars, travel, communications, and key administrative processes, while also supporting contract administration, HR documentation, and day-to-day operational requirements
Key responsibilities for this role include:
Provide direct support to the CEO, including calendar management, travel coordination, and day-to-day administrative support
Provide administrative support to the Executive Team, including scheduling meetings and editing documents
Manage travel bookings and maintain a centralised travel tracker for all staff
Prepare high-quality presentations, reports, and meeting packs for company and leadership meetings
Assist in the coordination and documentation of internal meetings
Coordinate with agents for Omnitronics offices in Perth, Florida, and Queensland
Manage NDAs and assist with contract administration, including coordinating reviews and liaising with legal advisors
Receive and direct incoming calls for the Perth office
Monitor US voice mailbox, emails, and direct messages to relevant staff
Review and approve employee expenses, ensuring timely submission, correct documentation, and policy adherence
Assist HR with employee correspondence, including employment contracts, compensation plans, and other related documentation
Assist with company insurance, including monitoring coverage, liaising with brokers, and providing relevant insurance information to clients and employees
Prepare purchase orders & ad hoc purchases for Executive and Administration, including training, subscriptions, and event bookings
Monitor and provide support to team members in the Philippines, organising regular catch-ups & addressing any needs locally.
Provide general administrative and operational support as required
Successful candidates must have:
Strong proficiency in Microsoft Outlook and PowerPoint
Experience supporting senior executives and leadership teams
Experience booking complex travel requirements for global teams
Excellent organisational and time management skills
High attention to detail and ability to manage multiple priorities
Strong English written and verbal communication skills
Experience in reporting, administration, or operations support roles
Ability to work independently and proactively
Work Arrangements:
Schedule: 8:00 AM - 5:00 PM (Philippine Time)
Work Setup: Full - Remote Setup (WFH
