About Our Client

Our client gives professional community management and accounting services for planned communities, condominiums, and homeowners associations (HOA). Community associations are more than just a group of neighboring homeowners or a board of directors. They exist to bring value to your property by maintaining living standards, collecting revenues for necessary expenditures, and community planning for the future.

Job Title: Administrative Specialist

Duties And Responsibilities

  • Vendor updates – including but not limited to regular vendors (landscaper, pest control, etc.)
  • County permit, Property Taxes, Insurance & Utility updates. etc.
  • Review community financial documents to ensure that all applicable vendors have been updated
  • Enter in YTD vendor payments for 1099 purposes.
  • Prep the data import files for the aged owner balances & prepaids
  • Draft owner welcome packets; Mail them out once approved by manager
  • Arrange couriers for pick-up of items. Log any items picked up in the transition folder for historical reference.
  • Track onboarding progress on excel spreadsheet.
  • Review historical records to ensure we have received all the historical records related to homeowner, financial statements, taxes, invoices, meeting minutes, etc.
  • Distribute important start up info to appropriate departments (AR, AP, resales, etc.)
  • High volume of email communication both internal and external.
  • Phone calls communication may be needed when updating vendors, utilities, and reaching out to the prior management company if needed

Schedule

Monday to Friday

11:00 pm to 8:00 am Manila time all year.

  • High School diploma mandatory. Bachelor is a plus.
  • At least 1 year of experience in data entry.
  • Accounting Background is a plus
  • Strong customer service skills.
  • Excellent written and verbal communication skills.
  • Strong typing skills.
