What youll do:

As an Admin Assistant, you need to be highly detail-oriented and process-driven to support a legal/conveyancing practice. This role focuses on collating data from source, accurate data entry, document preparation, form generation, system-based administrative support, collating and bundling legal documents as required.

Key responsibilities for this role include:

CRM & System Administration

  • Prepare and set up client workspaces and documents within CRM systems (e.g., TriConvey, Clio or similar platforms).
  • Check accuracy of data on system and input client data accurately into system fields and templates.
  • Generate templated emails, letters, invoices and standard forms.
  • Ensure all documentation is completed accurately and without errors.


Government Portal & External System Processing

  • Complete and save online forms on portals, such as:
    • PEXA
    • EDR and Revenue NSW
    • ATO
    • Australian Immigration portals
    • Other relevant authority platforms
    • Populate required forms using verified client data.
    • Follow strict procedural guidelines when preparing documentation.


    Administrative & Operational Support

    • Assist the Principal, Manager and Conveyancer with day-to-day administrative tasks.
    • Collate and bundle documentation as required.
    • Generate invoices and settlement-related documentation.
    • Order searches.
    • Phone authorities to confirm strata, water, council, and related charges.
    • Prepare and manage settlement adjustment sheets.
    • Maintain organized digital records within system guidelines.


    Successful candidates must have:

    • Strong attention to detail and high level of accuracy.
    • Experience working with CRM systems (TriConvey experience highly regarded).
    • Experience completing templated documents and structured forms.
    • Ability to follow detailed instructions consistently.
    • Strong written communication skills.
    • Ability to work independently while adhering strictly to procedures.
    • High level of reliability and time management.


    Work Arrangements:

    • Schedule: 6:00 AM - 3:00 PM PHT
    • Work Setup: Work On-Site
    • Office Location: Parkway Corporate Center, Alabang, Muntinlupa City
