Schedule: Monday - Friday (6:00 AM - 3:00 PM PHT)

What are we looking for?

Skills Required

  • Experience in service coordination or administration, preferably in engineering, mining, or industrial sectors.
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with internal and external stakeholders.
  • High attention to detail and accuracy in documentation and invoicing.
  • Proactive and solutions-focused mindset.

Desirable

  • Experience with service management or enterprise resource planning (ERP) systems, such as Simpro.
  • Understanding of compliance and induction processes for site access.

What will you do?

Service Scheduling & Coordination

  • Act as the primary contact for service-related customer inquiries
  • Schedule service jobs promptly and accurately, maintaining calendars in line with fatigue management policies.
  • Proactively manage service bookings by understanding customer rosters, service cycles, and optimising technician deployment.

Travel & Logistics

  • Coordinate travel arrangements including flights, car hire, and accommodation for

service personnel.

  • Ensure travel logistics are cost-effective and aligned with job requirements

Timesheets & Invoicing

  • Verify timesheets against signed site day sheets and ensure compliance with

company policies.

  • Prepare accurate invoicing based on customer agreements, including overtime and travel provisions.

Compliance & Inductions

  • Collaborate with the People and Culture team to maintain the training matrix and ensure technicians are site-ready.

Customer & System Management

  • Update insurance and compliance documentation on client portals and

management systems.
