What are we looking for?
Position Summary
The Residential Real Estate Paralegal supports attorneys handling NYC, Long Island, and NY State
residential transactions, including condos, co-ops, single-family homes, multi-family (1-4 unit), and
refinances. The role focuses on contract-to-closing workflow, clear communication with clients,
brokers, lenders, and title companies, and keeping files moving without bottlenecks.

What will you do?
Contract & Transaction Management
- Prepare, review, and revise residential contracts of sale (condo, co-op, house, sponsor deals where applicable).
- Manage attorney/firm calendars for contract deadlines, closing dates, adjournments, and contingencies.
- Coordinate communication among buyers, sellers, brokers, attorneys, and lenders to maintain deal momentum.
Due Diligence (Residential Only)
- Order, track, and review:
- Co-op/condo board applications.
- Offering plans, amendments, financial statements, house rules, alteration policies.
- Managing agent questionnaires (condo/co-op).
- Building financials and minutes; flag issues for attorney review.
- Assist in preparing attorney due diligence summaries (if required by the firm).
Title, Lien, and Document Coordination
- Order title reports and review for basic conditions, municipal searches, violations, liens, CO issues, open permits, and judgments.
- Coordinate with title companies to clear title.
- Order payoff letters (mortgage, liens, coop loans, etc.) and track receipt.
- Prepare transfer documents (only in coordination with attorney): TP-584, RP-5217, smoke detector affidavits, residency affidavits.
Lender & Coop/Condo Coordination
- Work directly with lenders to gather required documents, satisfy conditions, and schedule closings.
- Work with managing agents to secure board approvals, closing packages, and final clearance to close.
- Prepare and submit co-op board applications; ensure accuracy and completeness.
Closing Preparation
- Assemble complete closing packages.
- Confirm all parties are aligned on:
- Time, location (or virtual closing), and logistics.
- Final figures, apportionments, and required checks.
- Final walk-through timing.
- Draft closing statements and reconcile with title/lender figures.
Post-Closing
- Submit documents to title and County Clerk (or coordinate with title company).
- Ensure recording packages are complete and error-free.
- Track return of recorded documents and final policies.
- Prepare and deliver final closing binders or digital closing packages to clients.
