Job Description

Act as a strategic partner and operational lead. This role is responsible for aligning talent strategy with business goals, driving employee engagement, and managing all daily office operations. The ideal candidate will have 3-5 years of broad HR experience, strong administrative skills, and the ability to work proactively in a dynamic environment. Experience in logistics or freight forwarding is a plus.

Key Responsibilities

Human Resources

  • Verify that approved Manpower Request Form (MRF) is in place before starting recruitment to confirm budget availability.
  • Handle the recruitment process by posting job ads, screening resumes, scheduling interviews, and conducting basic reference checks.
  • Support candidate onboarding by preparing job offers, contracts, and orientation kits, and coordinating pre-employment requirements.
  • Draft and process HR-related letters and documents (e.g., employment confirmation, notices, memos).
  • Coordinate with IT to set up company email accounts and basic access for new hires.
  • Handle day-to-day HR functions including employee onboarding, maintaining records, assisting with benefits administration, and providing payroll support.
  • Ensure compliance with local labor laws and company policies by keeping documentation updated and assisting with government-mandated contributions.
  • Provide support in employee engagement activities and help facilitate performance appraisal cycles in coordination with regional HR.

Administrative

  • Assist in day-to-day office operations, including maintaining supplies, equipment, and ensuring a clean and orderly workplace.
  • Support administrative processes such as employee timekeeping, permit renewals, memberships, and basic travel arrangements.
  • Check and process admin-related billings (e.g., utilities, rentals, office maintenance, etc).
  • Maintain and organize records, files, and documentation for easy access and compliance.
  • Coordinate schedules, meetings, and office communications to ensure smooth workflow.
  • Handle routine correspondence, emails, and phone inquiries.
  • Monitor office supplies and assist in procurement requests.
  • Follow company policies and administrative procedures to support compliance.
  • Provide assistance in preparing simple reports and internal documents.

Requirements

With at least a Bachelors/College Degree in Human Resource Management, Psychology or equivalent.

With at least 3-5 years experience in handling different Human Resource functions and attending to employees concerns and issues.

Experience in freight forwarding and courier, logistics or operations experience is a plus.

Proficient in MS Office Applications (Word, Excel, PowerPoint)

Ability to deal with highly personal and confidential information

Effective written and oral English Communication

Must be able to deliver effectively and with minimal supervision

Able to do multitasking

Has a positive attitude, good interpersonal skills, self-motivated, independent, and proactive.

Flexible and can effectively deal with all sorts of people.

Can facilitate/lead employee meetings, gathering and events
