Reporting to: Team Leader Group Operations Manila/Supervisor of Operations/Director of Commercial & Operations

The Role

The Groups Operations Assistant plays a key role in ensuring the smooth execution of group travel bookings from confirmation through to departure. This position is managing documentation, coordinating itineraries, processing payments, overseeing air and land arrangements, and performing final quality checks. Acting as a central point of communication between internal teams, suppliers, and subagents, the specialist ensures deadlines are met and details are flawlessly executed.

Key Responsibilities

  • Lead to Quote/Opportunity: Build the quote in internal system, including pricing based on the Group Specialist Quote & ensuring the original quote is saved correctly in internal systems.
  • Quote/Opportunity to Booking: Convert an opportunity to a booking, prior to doing, check dates match and also check supplier & costing are updated if required. Prepare documents for the booking stage.
  • Accounting: Update invoices when payments are received online or process payments if manual forms are received.
  • File Maintenance: update the status of the file to reflect payments/names received in internal system.
  • Air: Add names, TSA & contact information to group PNR’s and assist in preparation for ticketing

Knowledge, Skills & Abilities

  • Experience: Ideally you will have travel company experience and/or a Travel & Tourism course certification.
  • Key Skills: Aptitude for numbers and accuracy, with strong writing and grammatical abilities.
  • Communication: Strong interpersonal and written communication skills, with the ability to work with both internal teams and external suppliers.
  • Technology: Proficiency in Microsoft Office Suite, and basic working knowledge of Amadeus.
  • Teamwork: Ability to work well in a team while independently managing responsibilities.
  • Time Management: Ability to handle multiple tasks and conflicting deadlines, and be able to prioritize requests.
  • Adaptability: This is an evolving position in a fast growing department, new tasks and duties may be assigned.
