What are we looking for?
Skills Required
2+ years of strong admin or virtual assistant experience
Prior experience handling vehicle registration, insurance claims, or traffic infringements is a plus
High attention to detail
Confident using CRM systems and spreadsheets
Able to manage daily task lists independently
Nice To Have
Experience supporting finance, leasing or automotive businesses
Experience in compliance-heavy administration roles
Rent-to-Own/Leasing Familiarity
What will you do?
Provide reliable, high-volume administrative support across Rent-to-Own operations. Handle simple, repeatable, time-sensitive tasks so the Client Operations Lead can focus on higher-value operational work.
Ensure tolls, fines, inboxes, compliance tracking and admin workflows are actioned accurately and on time.
Toll Notices & Fine Processing: Daily monitoring of inboxes and logging new notices into the tracking system.
Notice Management: Identifying the correct customer account and issuing initial notifications using approved templates.
Data Integrity: Updating the CRM with specific notice details and tracking due dates to flag overdue items.
Escalation: Handling the hand-off for complex or disputed matters that require a higher level of authority.
Insurance Administration: Logging new claims and collecting all required documentation from customers.
External Coordination: Following up with insurers for status updates to move claims toward resolution.
Gap Analysis: Proactively flagging missing documents or delays that could create operational risk.
Inbox Management: Monitoring shared inboxes and categorizing/assigning enquiries to the correct team members.
Template Execution: Preparing and sending standard response emails to maintain a fast "speed to lead" or "speed to resolution."
SLA Maintenance: Ensuring no communication sits unattended beyond the agreed Service Level Agreement (SLA).
System Updates: General data entry and ensuring the CRM reflects the most recent actions taken.
Documentation: Preparing, filing, and organizing digital documents for easy retrieval.
Performance Visibility: Preparing basic reports to show volumes of fines, claims, or inbox response times.
