Job Purpose The Data Entry & Scheduling Team Lead oversees a small team responsible for the accurate input, updating, and maintenance of scheduling-related data, customer information, appointment details, resource allocations, and other operational records across company systems. This leadership role ensures high data quality, process efficiency, team productivity, and timely support for scheduling, reporting, and daily operations. The Team Lead acts as the primary point of accountability for data integrity within the team, mentors staff, drives continuous improvement, and partners closely with the Scheduler to align data workflows with operational needs.
Key Responsibilities
Lead, supervise, and mentor a team of data entry and scheduling support staff, including assigning tasks, monitoring workloads, providing guidance, and conducting regular performance check-ins.
Oversee the accurate and timely entry, updating, and maintenance of appointment details, customer/client information, job/work order data, resource allocations, and other scheduling-related information into the companys database, CRM, scheduling software, spreadsheets, and related systems.
Ensure team adherence to data entry standards; implement and maintain procedures to enhance accuracy, efficiency, and consistency across all data processes.
Perform quality assurance by reviewing sampled data entries, verifying against source documents (paper forms, emails, booking requests, verbal instructions), identifying/correcting discrepancies, and addressing root causes with the team.
Coordinate with the Scheduler to prepare, update, and maintain daily/weekly schedules; oversee prompt handling of changes, cancellations, and adjustments by the team.
Manage electronic file organisation, records, backups, and data cleanup initiatives (e.g., deduplication, archiving outdated records, status updates) to keep systems optimised.
Generate and distribute basic to intermediate reports or data extracts (e.g., upcoming appointments, completion rates, resource utilisation summaries, team performance metrics) as requested by the Scheduler or operations leadership.
Monitor team performance against daily/weekly entry and accuracy targets; identify bottlenecks, recommend process improvements, and implement solutions to boost productivity.
Train new team members on systems, procedures, data privacy protocols, and industry-specific terminology; provide ongoing coaching to develop skills and maintain high standards.
Ensure strict confidentiality of customer, employee, and business data in compliance with privacy policies; lead team education and audits on data handling best practices.
Support the Scheduler and broader operations team during peak periods, special projects, or system migrations by prioritising team resources and hands-on involvement as needed.
Troubleshoot basic to moderate data-related issues, escalate complex problems, and collaborate on system enhancements or workflow refinements.
Required Skills and Qualifications Essential:
Fluent English (excellent spoken and written proficiency for clear team communication, training, documentation, and accurate data handling).
Proven experience in data entry, administrative support, or scheduling operations (minimum 2-3 years), with at least 1 year in a supervisory, lead, or mentoring capacity (or strong demonstrated leadership potential).
Excellent typing speed and accuracy (minimum 50-60 WPM with high accuracy) and strong personal commitment to error-free work.
Proficiency in Microsoft Office suite (advanced Excel skills highly valued for data manipulation, reporting, and analysis) and Word.
Solid understanding of databases, CRM systems, or scheduling software (training on company-specific tools provided; prior experience preferred).
Strong leadership and interpersonal skills, with ability to motivate, coach, and provide constructive feedback to team members.
Excellent time management, prioritisation, and ability to meet team targets while managing multiple competing demands.
High attention to detail, reliability, and ability to maintain focus in a fast-paced, repetitive-task environment while leading others.
Desirable:
Experience in facilities maintenance, building maintenance, construction, or similar service-based industries (valuable for understanding job terminology, work orders, site scheduling, and workflows).
Familiarity with scheduling software (e.g., Jobber, ServiceM8, Microsoft Bookings, Google Calendar, or industry-specific platforms).
Previous experience in a scheduling support, customer service, operations coordination, or data quality assurance role.
Basic knowledge of data privacy principles (e.g., GDPR/AP relevant standards, responsible handling of personal information) and experience implementing compliance measures.
Exposure to process improvement methodologies or basic KPI tracking/reporting.
