Schedule: 4:00 PM to 1:00 AM PHT - Hybrid Setup

Job Purpose

The Data Entry Clerk is responsible for accurately inputting, updating, and maintaining scheduling-related data, customer information, appointment details, and other operational records in our systems. This role supports the Scheduler by ensuring all data is current, error-free, and readily available for scheduling, reporting, and daily operations.

Essential

Skills Required:

  • Fluent English (excellent spoken and written proficiency for clear communication, accurate data transcription, and error-free documentation).
  • Proven experience in data entry, clerical work, or administrative support (minimum 6-12 months preferred).
  • Excellent typing speed and accuracy (minimum 50-60 WPM with high accuracy).
  • Strong attention to detail and commitment to error-free work.
  • Proficiency in Microsoft Office suite, particularly Excel and Word.
  • Basic understanding of databases or CRM systems (training on specific software will be provided).
  • Good time management skills and ability to meet daily/weekly entry targets.
  • Reliable and able to maintain focus during repetitive tasks.

Desirable

  • Experience in the facilities maintenance, building maintenance, or construction industries (helpful for understanding job-specific terminology, work orders, site scheduling, and operational workflows).
  • Familiarity with scheduling software (e.g., Jobber, ServiceM8, Microsoft Bookings, Google Calendar, or industry-specific tools).
  • Previous experience in a scheduling, customer service, or operations support role.
  • Basic knowledge of data privacy principles (e.g., handling personal information responsibly).

What will you do?

  • Accurately enter and update appointment details, customer/client information, job/work order data, resource allocations, and other scheduling-related information into the companys database, CRM, scheduling software, and/or spreadsheets.
  • Transfer data from paper forms, emails, booking requests, verbal instructions, or other sources into digital systems.
  • Verify entered data against source documents for accuracy, completeness, and consistency; identify and correct any discrepancies immediately.
  • Assist the Scheduler by preparing and updating daily/weekly schedules, inputting changes or cancellations promptly.
  • Maintain and organise electronic files, records, and backups related to scheduling activities.
  • Generate basic reports or data extracts as requested by the Scheduler (e.g., upcoming appointments, completion rates, or resource utilisation summaries).
  • Ensure strict confidentiality of all customer, employee, and business data in line with privacy policies.
  • Perform regular data cleanup tasks, such as removing duplicates, archiving old records, or updating status fields.
  • Support the Scheduler with administrative tasks related to data management during peak periods or special projects.
