What are we looking for?
The Virtual Paralegal provides administrative and procedural litigation support to attorneys by coordinating document requests, managing vendor communications, preparing subpoena-related materials, and maintaining internal case tracking systems. This role is responsible for ensuring that records requests, service requirements, and supporting documentation are accurately prepared, submitted to third-party vendors, and tracked through completion. The position requires strong attention to detail, clear communication with vendors and internal legal staff, and consistent updates to internal tracking systems such as subpoena matrices.
Skills Required
Required Qualifications
- 5+ years experience working as a paralegal, legal assistant, or litigation support specialist
- Familiarity with subpoenas, records requests, and document service processes
- Strong written communication skills for drafting request language and coordinating with vendors
- Excellent organizational skills and attention to detail
- Ability to manage multiple requests and follow-up tasks simultaneously
- Comfortable working with third-party vendor platforms and web-based order systems
Preferred Qualifications
- Experience in California
- Experience supporting civil litigation teams
- Certification in Paralegal or Juris Doctor Degree
- Familiarity with records retrieval vendors and service-of-process procedures
- Experience maintaining subpoena matrices or similar case tracking systems

What will you do?
Key Responsibilities
- Vendor and Records Coordination
- Determine whether a case requires use of a specific third-party vendor based on internal case requirements
- Research and identify the correct location or registered agent for service by contacting facilities directly when necessary
- Maintain and verify service lists and facility contact details to ensure accurate service of documents
Document Preparation and Drafting
- Draft Attachment 3 language outlining the documents being requested from facilities or entities
- Submit drafted attachment language to the supervising attorney for review and approval prior to submission
- Ensure all requested document descriptions meet the requirements outlined by the supervising attorney
Vendor Order Management
- Enter required case information into order forms on third-party vendor platforms
- Attach approved Attachment 3 language and verified service lists to vendor order submissions
- Request that vendors send draft subpoenas or service drafts back to the firm for attorney review and approval prior to service
- Request proof of service documentation from vendors for firm records
Service Coordination and Case Requirements
- Specify personal service requirements for construction-related matters when submitting vendor requests
- Monitor vendor progress to ensure timely service and document retrieval
- Follow up with vendors to obtain proofs of service and requested records when delays occur
Case Communication and Updates
- Notify the assigned paralegal or attorney immediately when records, correspondence, or service confirmations are received from a facility or vendor
- Maintain clear documentation of vendor responses and updates related to each request
Case Tracking and Documentation
- Update subpoena matrices and internal tracking systems with current status of service, document requests, and received records
- Ensure case records remain organized and accessible for attorneys and litigation staff
