Role Overview

We are seeking a detail-oriented and results-driven Client Intake Specialist with direct experience in law firm client intake. The ideal candidate will have a proven track record of successfully converting inquiries into retained clients, while navigating prospects through the intake and onboarding process with professionalism and care.

Key Responsibilities

  • Manage the full client intake process, from initial inquiry to signed agreement.
  • Conduct follow-up with current and prospective leads to maximize conversion into active opportunities.
  • Schedule and confirm client appointments, ensuring efficient and effective calendar management.
  • Guide prospects through the onboarding process, setting expectations and answering preliminary questions.
  • Communicate the value of estate planning and confidently guide prospects toward scheduling a paid Design Meeting.
  • Collect and verify client information to ensure accuracy and compliance with firm standards.
  • Maintain organized and up-to-date records of client interactions and intake progress in the firms case management system.
  • Collaborate closely with attorneys and staff to ensure seamless transition from intake to case management.
  • Actively monitor and respond to leads from multiple channels, including Attorney Fuel, Google Ads, firm webforms, Lawyer.com, AttorneyAssist, and outside referrals

Qualifications (Non-Negotiable)

  • Minimum of 2 years of experience as a Client Intake Specialist within a US law firm.
  • Demonstrated success in sales or client conversion, including appointment setting and follow-up strategies.
  • Strong knowledge of the law firm client intake process.
  • Excellent communication and interpersonal skills, with the ability to build rapport quickly.
  • Excellent listener who can ask meaningful questions.
  • High level of organization and attention to detail.
  • Proficiency with Lawmatics, Clio or similar legal practice management software.

Preferred Qualifications

  • Familiarity with estate planning practice areas.
  • Experience handling multiple lead-generation tools and intake platforms.
  • Proven ability to work independently while managing multiple priorities in a fast-paced environment.
  • Confident but not pushy; able to guide clients toward making a decision.
  • Solution-oriented thinker who anticipates client needs.
