We are seeking a detail-oriented and results-driven Client Intake Specialist with direct experience in law firm client intake. The ideal candidate will have a proven track record of successfully converting inquiries into retained clients, while navigating prospects through the intake and onboarding process with professionalism and care.
Key Responsibilities
Manage the full client intake process, from initial inquiry to signed agreement.
Conduct follow-up with current and prospective leads to maximize conversion into active opportunities.
Schedule and confirm client appointments, ensuring efficient and effective calendar management.
Guide prospects through the onboarding process, setting expectations and answering preliminary questions.
Communicate the value of estate planning and confidently guide prospects toward scheduling a paid Design Meeting.
Collect and verify client information to ensure accuracy and compliance with firm standards.
Maintain organized and up-to-date records of client interactions and intake progress in the firms case management system.
Collaborate closely with attorneys and staff to ensure seamless transition from intake to case management.
Actively monitor and respond to leads from multiple channels, including Attorney Fuel, Google Ads, firm webforms, Lawyer.com, AttorneyAssist, and outside referrals
Qualifications (Non-Negotiable)
Minimum of 2 years of experience as a Client Intake Specialist within a US law firm.
Demonstrated success in sales or client conversion, including appointment setting and follow-up strategies.
Strong knowledge of the law firm client intake process.
Excellent communication and interpersonal skills, with the ability to build rapport quickly.
Excellent listener who can ask meaningful questions.
High level of organization and attention to detail.
Proficiency with Lawmatics, Clio or similar legal practice management software.
Preferred Qualifications
Familiarity with estate planning practice areas.
Experience handling multiple lead-generation tools and intake platforms.
Proven ability to work independently while managing multiple priorities in a fast-paced environment.
Confident but not pushy; able to guide clients toward making a decision.
Solution-oriented thinker who anticipates client needs.
