The owner is highly involved in day-to-day operations and is looking to delegate administrative and coordination responsibilities to focus on higher-value activities and long-term growth. Organization, reliability, attention to detail, and proactive problem-solving are highly valued.

About the Role
This role supports the back office by managing email communication, customer text-based messaging, and scheduling coordination inside Jobber. The position will begin with core communication and organization tasks and expand over time as the assistant becomes familiar with the business.
Success in this role requires strong written communication, critical thinking, and the ability to stay calm and organized in a fast-changing, schedule-driven environment.

Key Responsibilities
Customer Communication & Inbox Management
- Handle customer communication primarily via email and text messaging in a human, helpful, non-robotic tone
- Manage inbox daily as a top priority, keeping response times tight and threads organized
Scheduling & Operations Support
- Coordinate and update schedules in Jobber, including frequent changes due to weather and operational shifts
- Assign field teams to jobs inside the CRM and maintain an accurate, up-to-date schedule
- Send proactive customer updates via email or text when schedules or job details change
Back Office Organization
- Track key operational information and maintain clean, accurate records
- Support general administrative and organizational tasks as needed

Secondary Responsibilities
- Collect and track team hours and update timesheets or internal trackers
- Provide basic reporting support related to jobs, schedules, and performance data
- Assist with job costing and keep job-related information organized for the owner

Tools & Systems
- Jobber CRM experience preferred (not required)
- Comfortable learning new CRMs and working with multiple web-based tools and tabs
- Email management and basic spreadsheet tracking

- Customer service experience (written communication is sufficient)
- Comfortable with scheduling coordination and operational admin tasks
