Job Description

The Recruitment Operations Coordinator supports the delivery of consistent, high-quality recruitment operations by ensuring data integrity, maintaining system accuracy, and enabling efficient, standardised workflows across the Firm’s recruitment function. Working closely with the Recruitment Operations Specialist and People Systems and Analytics teams, the Coordinator plays a foundational role in operational quality — performing data validation, supporting system processes, and contributing to process improvement, automation, and governance activities. The role is designed to build progressive capability in recruitment systems, data governance, AI-enabled tools, and digital workflows, providing a clear development pathway into more advanced operations responsibilities


Main responsibilities:

Recruitment Operations & Process Discipline 

  • Execute defined recruitment operations tasks in line with SOPs, service standards, and agreed workflows 
  • Ensure accurate and consistent handling of candidate and requisition data within the ATS 
  • Perform process adherence checks, flagging deviations, gaps, or inconsistencies to the Specialist or Lead 
  • Support process standardization across centers and in-market teams by following defined guidelines and escalation paths 
  • Provide Recruitment and People Operations project support, as required, to contribute to the delivery of agreed priorities


Data Quality & Governance Support 

  • Maintain high levels of data accuracy and completeness across recruitment systems and trackers
  • Perform regular data validation checks and basic audits to identify errors, gaps, or risks to data integrity 
  • Escalate data quality issues to the Specialist or Lead for resolution and action 
  • Support adherence to data governance standards, policies, and reporting requirements
  • Assist with data extraction, clean-up activities, and tracker maintenance as directed


Systems & Tools Support 

  • Update and maintain records across the ATS and related recruitment tools accurately and in a timely manner 
  • Support system-related activities, including user acceptance testing (UAT), data uploads, and process validation during system changes or releases 
  • Act as a first-level support resource for basic system and process queries, escalating complex issues as needed
  • Ensure accurate and consistent use of recruitment systems in line with best practice and defined workflows 


Process Improvement & Automation Support 

  • Provide feedback on recurring process issues, inefficiencies, or gaps 
  • Support implementation of improvements and change initiatives led by the Specialist or Lead 
  • Contribute to automation and digital workflow adoption by participating in testing and early use of new tools or solution


AI & Digital Capability Development 

  • Build foundational knowledge of AI-enabled recruitment tools and automation capabilities 
  • Support the use of digital tools and technologies that improve consistency, speed, and data quality 
  • Demonstrate curiosity and a commitment to continuous learning in emerging recruitment technologies 
  • Participate in training, pilots, and learning opportunities related to AI and automation in recruitment operations 


Stakeholder Collaboration 

  • Provide timely and accurate responses to operational queries from recruiters and internal stakeholders 
  • Collaborate closely with Specialists, Recruiters, and People Systems teams to support smooth operational delivery 
  • Follow defined escalation paths and service standards when managing queries or issues 
  •  Build strong working relationships across the team and with global colleagues 


Skills and experience:

  • Experience in recruitment coordination, HR operations, or a systems/process-oriented support role  
  • Strong attention to detail with a focus on data accuracy, completeness, and process discipline 
  • Comfortable working with ATS or HR systems (e.g. Avature, Workday, SuccessFactors, or similar), including updating records, managing data, reporting, and supporting system-related activities 
  • Foundational understanding of recruitment processes and operational workflows 
  • Ability to manage multiple tasks and competing priorities while meeting deadlines and service expectations s
  • Interest in and willingness to develop skills in automation, AI-enabled tools, and digital workflows 
  • Strong organizational and problem-solving skills, with a practical mindset for identifying issues and supporting solutions 
  • Demonstrates initiative and accountability in completing tasks and escalating issues or risks appropriately 
  • Strong communication skills with a service-oriented and collaborative approach 
  • Able to work effectively as part of a globally dispersed team
