Exceptional English communication skills — written and verbal.
Advanced proficiency in Microsoft 365, especially SharePoint, OneDrive, PowerPoint, Excel, and Word.
Experience with CRM systems (Zoho preferred).
Excellent organisational skills and strong attention to detail.
Proven ability to manage multiple deadlines simultaneously.
Experience drafting SOPs, templates, documentation, and workflows.
Ability to work independently with minimal back-and-forth.
Comfortable with client-facing communication when required.
Experience in B2B or consulting environments preferred.

What will you do?
Consulting Support & Client Delivery
Prepare and format client deliverables (reports, assessments, presentations, documentation).
Coordinate project activities, timelines, schedules, and client communications.
Support client onboarding, including setting up folders, calendars, workflows, finances, and templates.
Assist in drafting program documentation, including early-stage content, formatting, and alignment with Fixinc templates.
Support preparation for Business Impact Analysis (BIA) workshops, including documentation, schedules, pre-reading, and coordination with client stakeholders.
File and maintain structured consulting documents according to Fixincs standards.
Conduct light research tasks to support consulting engagements.
Prepare internal and external slide decks.
Operations & Administration
Manage general inboxes and triage communications effectively.
Coordinate scheduling across multiple time zones, including meetings, workshops, training sessions, and travel.
Maintain and update digital filing systems (SharePoint, OneDrive).
Keep SOPs, templates, and operational documentation organised, current, and compliant.
Handle operational tasks such as calendar coordination, record keeping, file structuring, asset lists, minute taking, and workflow updates.
Support onboarding and training of additional VAs as the team grows.
Systems & Digital Tools Support
Use Microsoft 365 extensively: SharePoint, Teams, OneDrive, Bookings, Word, PowerPoint, Excel, Outlook.
Update and maintain records in Zoho CRM, working alongside internal stakeholders.
Assist with LinkedIn and Sales Navigator tasks (research, profile updates, outreach support).
Manage WhatsApp Business communications and assist in coordinating Fixinc phone lines.
Support basic data entry or updates in select Google tools (Analytics, Ads) — training provided if required.
Quality Assurance & Consistency
Perform quality checks on all client-facing documents before delivery.
Maintain brand consistency across templates, slides, and reports.
Ensure all outputs meet Fixincs high standards of accuracy, clarity, and professionalism.
Review BIA materials, program documents, and client decks for accuracy and alignment.
Proactively identify inefficiencies or process gaps and propose improvements.
