About The Role
As a Sales and Marketing Operations Manager, it translates complex performance data into actionable insights, leads cross-functional improvement initiatives, and provides direct oversight of the Sales Support/Admin team. Operating in a fully remote capacity with sales teams based in Australia, this role serves as the operational backbone connecting people, data, and processes across geographies. The ideal candidate brings strong analytical depth, hands-on project leadership experience, CRM proficiency, and the communication skills needed to align and influence stakeholders across time zones.
Key Responsibilities
A. Performance Management & Analytics
- Develop, generate, and analyze sales and marketing performance reports on a regular cadence
- Translate complex data into clear, actionable insights to guide sales teams on targets, gaps, and opportunities
- Track KPIs across both functions; identify trends and recommend performance improvement strategies
- Provide structured performance updates to the Sales & Marketing Director and key stakeholders
- Build and maintain performance dashboards and reporting frameworks accessible to the business
B. Cross-Functional Collaboration
- Act as the operational bridge between Sales, Marketing, and other departments to ensure strategic alignment
- Facilitate clear communication and workflow coordination across functions and geographies
- Support leadership decision-making by synthesising data and providing structured briefings
- Represent operational insights and team updates in leadership forums and planning sessions
- Build and sustain strong working relationships with remote stakeholders across Australian time zones
C. Project Management & Process Improvement
- Lead and manage improvement projects end-to-end including CRM enhancements (Salesforce), sales operations optimization, and automation initiatives
- Identify process inefficiencies across sales and marketing workflows; implement scalable and sustainable solutions
- Collaborate with third-party vendors to resolve system issues and drive workflow improvements
- Manage cross-functional projects (e.g., Proof of Loss initiatives) from scoping through to delivery
- Maintain clear project documentation, milestones, and stakeholder communication throughout project lifecycles
D. Sales Operations & Support Team Management
- Oversee the day-to-day operations of the Sales Support / Admin team including workload management and performance oversight
- Ensure timely resolution of internal and client-related operational and technical issues
- Set clear expectations, provide regular coaching and feedback, and support the professional development of direct reports
- Continuously improve team processes to enhance productivity, quality, and client experience
- Escalate unresolved issues appropriately and maintain accountability for team-level outcomes
E. Marketing Support & Strategy Alignment
- Support marketing initiatives drawing on working knowledge of SEO/SEM, social media marketing, email marketing, and campaign planning
- Align marketing campaign activity with sales objectives and revenue targets
- Provide operational support and performance data to the marketing team for campaign planning and post-campaign review
- Monitor and report on marketing campaign effectiveness alongside sales outcomes
F. Remote Team Engagement & Stakeholder Management
- Work closely with Australia-based sales teams in a fully remote capacity, proactively engaging via calls and virtual platforms
- Gather field insights, relay strategic updates, and ensure alignment between remote teams and central operations
- Build trusted, productive working relationships with geographically dispersed stakeholders
- Adapt communication style and availability to support effective cross-time-zone collaboration
G. Strategic Planning & Innovation
- Act as a strategic partner to the Sales & Marketing Director, contributing to planning, forecasting, and growth initiatives
- Identify growth opportunities and recommend data-driven solutions to business challenges
- Monitor performance signals, market trends, and competitor activity to inform decision-making
- Contribute to annual operating plans and quarterly business reviews with structured data and recommendations
H. Team Leadership and Performance
- Coach and develop Associates to drive high performance and accountability.
- Foster a positive, engaged, and values-driven team culture
- Manage individual and team performance, including addressing underperformance through timely interventions.
- Act as the primary leadership point of contact for stakeholders, proactively managing communication, risks, and escalations
I. Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy relevant to their role, including the ability to understand, use, and evaluate AI-supported tools for work efficiency and decision-making.
- Use approved AI tools and digital systems in compliance with company policies, data privacy requirements, information security standards, and client confidentiality obligations.
- Apply sound judgment in AI use by validating outputs, avoiding overreliance, and ensuring accuracy, fairness, and professional accountability for all work delivered.
- Participate in required AI readiness trainings, upskilling programs, and continuous improvement initiatives as part of Smartsourcings innovation and learning culture.
- Proactively identify opportunities for process improvement through automation, digitization, and responsible AI integration within their scope of work.
Qualifications:
- Bachelors degree in Business Administration, Marketing, Data Analytics, or a related field. Postgraduate qualifications or equivalent professional certifications are an advantage. .
- 5+ years of experience in sales operations, marketing operations, or a combined performance management role.
Tools:
- CRM: Salesforce (required); other CRM platforms advantageous
- Data & Reporting: Advanced Microsoft Excel, Power BI, Google Data Studio, or equivalent
- Marketing: SEO/SEM tools, email marketing platforms (Mailchimp, HubSpot, ActiveCampaign)
- Project management: Asana, Jira, Monday.com, Notion, or equivalent
- Communication & collaboration: Microsoft Teams, Zoom, Slack
- Automation tools: Zapier, Power Automate, or similar
