Hi! Were Smartsourcing, and were looking for an Administrative Associate to support our Sales and Property Management teams. Youll help keep things organised by handling day-to-day admin tasks, managing records, and coordinating requests—making it easier for the team to focus on clients, properties, and closing deals.

About The Role

The Administrative Associate provides day-to-day administrative and operational support to the

Sales and Property Management teams. The role exists to streamline workflows, maintain

accurate documentation and records, and ensure smooth coordination of client and internal

requests. By managing essential administrative tasks, this position enables Sales and Property

Managers to focus on client engagement, property transactions, and revenue-generating activities,

contributing to overall team efficiency and effectiveness.

Role Responsibilities

Administrative Support for Sales & Property Managers

- Prepare, process, and maintain sales and property-related documentation in accordance with established procedures.

  • Organise files, records, and documentation to ensure accessibility and compliance.
  • Provide consistent day-to-day administrative support to enable uninterrupted operations.

Client & Inquiry Coordination

  • Receive, log, and respond to client and tenant enquiries in a timely and professional manner.
  • Coordinate requests and information flow between clients, Sales team, and Property Managers.
  • Ensure clients receive accurate and timely updates throughout their interactions.

System & Data Management

- Update and maintain property listings, databases, and internal systems.

  • Generate routine reports to support operational tracking and decision-making.
  • Ensure data accuracy, completeness, and consistency across systems.

General Office Support

- Provide ad hoc administrative and coordination support to meet team and office requirements.

  • Assist with internal communication and task coordination as required.
  • Support team effectiveness through reliable execution of assigned tasks.

  • Familiarity with property listing systems is an advantage
  • Basic understanding of document handling and data accuracy standards
