About The Role
As a Admin Associate, it focuses on backend operations and structured task execution, including rent receipting, lease documentation, inbox management, and system updates. It also supports basic marketing and social media activities, contributing to property listings and brand visibility. Operating as a developing practitioner, the role requires strong attention to detail, the ability to work independently on routine tasks, and the capability to manage multiple workflows while maintaining accuracy and timeliness.
Key Responsibilities
A. Property Management Administration & Compliance
- Process and reconcile daily rent receipts
- Maintain compliance records (e.g., smoke alarms, inspections)
- Track arrears and follow up via SMS/email
- Maintain insurance and regulatory records
B. Leasing & Documentation Management
- Prepare and process lease agreements and renewals
- Manage tenant applications and documentation completeness
- Handle vacating tenant processes
- Coordinate utilities and onboarding requirements
C. Inbox & Workflow Management
- Monitor and manage shared inbox
- Triage, respond, or escalate communications
- Coordinate maintenance requests with vendors
- Support onboarding of properties and tenants
D. Social Media & Creative Support
- Create and schedule property-related social media content
- Design basic marketing materials and listing visuals
- Support marketing updates and campaigns
- Generate QR codes and simple landing pages
E. Systems & Data Management
- Maintain accurate records in property management systems
- Update and manage system data
- Support reporting and status updates
- Process board orders and updates
F. Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy relevant to their role, including the ability to understand, use, and evaluate AI-supported tools for work efficiency and decision-making.
- Use approved AI tools and digital systems in compliance with company policies, data privacy requirements, information security standards, and client confidentiality obligations.
- Apply sound judgment in AI use by validating outputs, avoiding overreliance, and ensuring accuracy, fairness, and professional accountability for all work delivered.
- Participate in required AI readiness trainings, upskilling programs, and continuous improvement initiatives as part of Smartsourcings innovation and learning culture.
- Proactively identify opportunities for process improvement through automation, digitization, and responsible AI integration within their scope of work.
Qualifications:
- Bachelors degree in Business Administration, Marketing, or related field
- 1–2 years in administrative, operations, or property management support role
