JOB DESCRIPTION Summary/Objective

The Marketing Events & Campaign Coordinator supports the operational execution of the firms marketing initiatives. This role is responsible for maintaining marketing workflows, managing project tracking systems, supporting event and webinar logistics, executing monthly email newsletters, preparing marketing reports, and assisting with miscellaneous marketing and sales operations tasks as needed.

The Coordinator ensures marketing initiatives move forward efficiently, tasks are properly assigned and tracked, deadlines are met, and that our project management infrastructure remains organized and accurate. This is a systems-driven, detail-oriented role focused on operational excellence and execution discipline.

Essential Functions

Marketing Operations & Project Management

  • Own and maintain the marketing project management system (Monday.com), ensuring all initiatives are properly documented and tracked.
  • Enter, assign, and track tasks based on approved marketing initiatives, establishing deadlines and managing task dependencies.
  • Track project progress and proactively escalate overdue or at-risk items to marketing leadership.
  • Maintain recurring project boards for ongoing initiatives such as email campaigns, webinars, conferences, and sponsorships.
  • Provide weekly status updates and support the preparation of monthly and quarterly marketing performance reports.
  • Assist with documentation, maintenance, and refinement of marketing workflows and standard operating procedures (SOPs)

Event and Webinar Operations

  • Create and configure webinars within approved platforms, including registration pages and automated confirmation workflows
  • Schedule calendar invites and related communications for webinar presenters.
  • Maintain and update the firms marketing events calendar.
  • Manage internal registrations for networking events and conferences.
  • Track sponsorship deadlines, deliverables, and event logistics.
  • Ensure accurate capture of event attendees and related data in HubSpot.
  • Support post-event follow-up tracking and documentation.

Email Marketing & Campaign Execution

  • Build and deploy monthly industry and service-line email newsletters in HubSpot.
  • Format approved messaging into standardized email templates.
  • Conduct pre-send quality assurance checks, including link verification, formatting review, and segmentation validation.
  • Schedule and monitor email distributions.
  • Assist in tracking and reporting campaign performance metrics.

Sales and Marketing Support

  • Support sales and marketing initiatives through list building, company research, and preparation of pre-meeting briefs.
  • Perform other related duties as assigned to support the marketing and sales functions.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers.

Position Type and Expected Hours of WorkThis is a full-time position. Days and hours of work are Monday through Friday, and require 4 hours overlap between 8 am-5 pm Eastern Time Zone. Some flexibility may be required to support live webinars or urgent campaign deadlines.

Required Education And Experience

  • 2-4 years of marketing experience in marketing operations, CRM support, or administrative coordination.
  • Proficiency with HubSpot CRM
  • Proficient with Microsoft Office Suite or related software.
  • Experience utilizing project management systems

Preferred Education And Experience

  • Proficiency with the Monday project management system
  • Experience supporting US-based marketing teams
  • Experience in professional services or corporate marketing environments.
