PURPOSE

Support the Early Careers and Talent Acquisition function in the coordination and onboarding of student placements across the division. This includes credentialing compliance, maintenance of registers and databases and reporting support. The Talent Acquisition Administrator will provide additional support to the onshore Talent Acquisition Administrator relating to new hire credentialling and acquisition credentialing support. Please note that the specific tasks listed in this position description are not all inclusive. The tasks listed are to be used as a guide only and other objectives and/or tasks may be agreed from time to time. MedHealth reserves the right to adjust role responsibilities and functions in line with the strategic direction and needs of the business.

Responsibilities

Key Duties Compliance ▪ Ensure all compliance documentation is received prior to student

commencement (NDIS Division) & update registers ▪ Administer confidentiality deeds and required policies for all NDIS

student placements ▪ Upload documentation for Students to Non-Payroll Register ▪ Assist when required with ensuring new employee compliance

▪ Assist with checking new employee documents uploaded in WorkPro and accept/decline

▪ Provide regular updates and notifications to the People & Culture Officer relating to outstanding compliance matters

▪ Where required, support the onshore Talent Acquisition Administrator in provision of periodical candidate status reporting

Data collection, reporting and record keeping

▪ Administer feedback forms via Smart Recruiters including mid- point placement feedback form, end of placement feedback and BP feedback forms

▪ Monitor placement cessation dates and provide periodical reporting to the Talent Acquisition team for TA pipelining of talent into future graduate programs

▪ Support Early Careers Manager in reporting and analysing student placement conversions

Administrative Support ▪ Monitor student placement inbox ▪ Update and maintain student placement registers ▪ Communicate with students to obtain compliance documentation ▪ Submit new starter fresh tickets ▪ Support creation of annual national university student placement

calendar ▪ Support Early Careers Manager in communicating university

supervision trainings to relevant cohorts ▪ Support local university Operation Representatives in fulfilling

engagement opportunities i.e. co-ordinating logistics and resources

▪ Provide administrative support to Early Careers Manager with registering executed University Placement Contracts

▪ Actively work with the Early Careers Manager in reviewing processes for continuous improvement

Services/Operational Outcomes

▪ Coordination and administrative support for the talent acquisition pipeline of student placements/early careers

▪ Students and new hire onboarding is compliant as per MedHealth, NDIA and university requirements

▪ All students have required credentials and documentation prior to commencement ▪ Reports and registers are up to date and data is correct ▪ Ensure best practice customer service is provided to internal stakeholders as measured by feedback ▪ Contribute towards system and process improvements

▪ Well-developed communication skills ▪ Exceptional organisational and time management abilities ▪ Attention to detail ▪ Flexible and adaptable to change ▪ Intermediate MS Office skills ▪ Knowledge of Applicant Tracking Systems systems is well regarded
