Organizational Setting and Reporting Relationship

The position of Senior Travel Assistant is assigned to the Travel Team under the Procurement and Contracts Administration Unit (CSPC) within the Corporate Services Department (CSD). You will be based at our Headquarters in Manila, Philippines.

You will report to the Designated International Staff and Officer.

Your Role

As a Senior Travel Assistant you will provide support in the administration of travel-related matters and monitor administrative requirements of the Travel Team.

You Will

  • Respond to staff inquiries on travel policies and procedures, resolve situations when possible or direct them to the correct focal points or travel management companies, and escalate unresolved issues.
  • Ensure follow-up on cases and adherence to ADB policies and travel service standards.
  • Support travel-related procurement activities involving airlines, hotels, travel agencies, and corporate card programs.
  • Process invoices for airfare, hotels, and visa services, coordinating with CTL to ensure prompt, accurate disbursement.
  • Assist colleagues in using travel expense systems such as Concur and help administer corporate card programs.
  • Draft correspondence and notes verbale, and coordinate with embassies and stakeholders on visa requests.
  • Manage document flow, maintain both paper and electronic records, and update Travel Unit communication platforms to ensure accuracy and consistency.
  • Organize meetings, training sessions, and outreach activities; manage office supplies, computer equipment, and workflow tracking systems.
  • Compile and analyze business travel data to produce reports and provide guidance or training to service providers for quality assurance.
  • Arrange supervisors travel following ADB procedures.
  • Perform other duties as may be assigned and reflected in your workplan.

You Will Need

  • Bachelors degree in tourism, business administration, accounting, management, or related disciplines
  • At least 5 years of relevant professional experience in the travel industry (airlines, hotels, online travel agencies, travel management companies, or corporate travel management) is advantageous.
  • Familiarity with policies related to visa privileges and travel requirements for ADB personnel.
  • Proficiency in office administration and in the use of relevant computer-based programs and applications, including databases such as Microsoft Office 365 (Excel, PowerPoint, Word), Outlook, and Oracle (LVAD).
  • Previous international travel experience (business or leisure) is considered an asset.
  • Excellent command of written and verbal communication skills in English.

Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew , initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff’s particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff’s performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
