Job Description: Senior Financial Administrator

Location: Hybrid (remote / 2 days in office)

Employment: Permanent, full time

Max Budget: $48,000 fully inclusive of benefits

Reports to: Julia Martinelli (managing director and head finance broker)

Key criteria

  • Minimum of 3-5 years’ experience in mortgage broking within Australia (ideally LMG)
  • Excellent written and verbal communication skills
  • Detail oriented – high level of accuracy

Role Overview

We are seeking a detail-oriented Finance Administration to support our team and help us with sustainable growth. This role is ideal for someone with experience working in the Australian mortgage broking industry and has specific experience with financial statements, tax returns, and complex entity structures, who enjoys organising information into logical, easy-to-use systems.

Key Responsibilities

Tasks

  • Data Entry & Processing: - Request financial information from clients - Input personal/financial data from client - Save files in client folders - Accurately record income, expenses, assets, liabilities, and key ratios - Run credit report on clients to ensure everything is included in servicing


assessment - Compile property reports for pre-approved clients and obtaining valuations - Prepare loans for submission to lender

  • Entity & Relationship Mapping: - Create company/trust/entity family trees within the CRM, showing


relationships between individuals, trusts, and companies - Ensure structures are clearly documented and easy for brokers to interpret

  • Data Cleansing & File Management: - Review and clean up existing digital filing systems - Redact sensitive information to meet compliance requirements - Standardise naming conventions and improve document organisation
  • Quality Control: - Use compliance checklist to ensure compliance - Upload required files to client application - Cross-check entered data for accuracy and completeness - Flag any discrepancies or missing information for broker follow-up - Ensure loan tasks are completed in a timely manner, discuss outstanding


issues regularly with the broker - Attend courses run by the aggregator to ensure lender and compliance

  • Data analytics:
  • Analyse client financial data to determine loan serviceability - Assist broker to analyse business reporting to assess referrer activity and


progress against settlement targets

  • Relationship liaison
  • Ensure clients and referral partners are kept up to date on progress of loan submissions
  • Google reviews - Send google review requests to clients
  • Business process - Contribute to on-going business process and system improvements -


highlighting areas for automation and continual improvement - Ensure business process documentation is up to date

Key Skills & Experience

Must haves

  • Minimum 3-5 years’ experience in mortgage broking in Australia
  • High attention to detail
  • Excellent communication skills – both written and verbal
  • Experience reading and understanding financial statements, tax returns, and


business structures

  • Familiarity with self-employed clients and complex income scenarios
  • Understanding of privacy and compliance requirements
  • Ability to work independently, problem solve, prioritise tasks and meet


deadlines

  • Proficiency with Microsoft Outlook, Excel, Word and Teams
  • Adaptable and embracing of technology and change
  • A fantastic attitude, wanting to learn and be a part of the team
