The Opportunity
We are seeking a detail-oriented Salesforce Assistant to support CRM operations, data quality, and system integrations across Salesforce-based platforms (including Lumary and similar systems).
This role focuses on maintaining accurate client data, supporting billing and enrolments, troubleshooting integrations, and assisting users with day-to-day CRM tasks.
Key Responsibilities
CRM Data Management & Quality Assurance
Maintain and validate client records (e.g., contact details, addresses, key identifiers)
Process new client setups, including funding or service configurations
Identify and correct data errors, duplicates, and missing information
Run regular data quality checks and reports
Prepare data exports for reporting and finance integration
Enrolment & Billing Support
Process new enrolments and verify customer information
Set up and maintain billing schedules and payment details
Generate invoices and ensure accurate billing cycles
Monitor and resolve billing issues (e.g., failed payments, missing data)
Prepare reports highlighting account issues for review
Salesforce Administration & Maintenance
Manage custom fields, validation rules, workflows, and page layouts
Create and maintain reports and dashboards
Support system integrations with finance and external platforms
Assist with system updates, testing, and rollouts
Manage user access, permissions, and account setup
Process Improvement & Automation
Identify opportunities to automate manual processes
Build workflows using Salesforce tools or automation platforms
Document standard operating procedures (SOPs)
Support system improvement initiatives and data migration projects
User Support & Training
Provide first-level support for CRM users
Troubleshoot system and data issues
Create user guides and training materials
Conduct onboarding and training sessions
Escalate complex issues to relevant teams
Required Skills & Experience
Salesforce Administrator Certification (ADM 201)
3–5 years of Salesforce administration or related experience
Experience with Salesforce-based CRM systems (e.g., Lumary or similar)
Knowledge of integrations (APIs, middleware, or automation tools)
Strong reporting and dashboard creation skills
Advanced Excel/data handling skills
Excellent communication and documentation abilities
Preferred Experience
Background in healthcare, aged care, childcare, or non-profit sectors
Familiarity with funding or subsidy-based systems
Experience supporting offshore or remote teams
Key Attributes
Strong attention to detail and data accuracy
Proactive problem-solving mindset
Ability to work independently across time zones
Clear communicator with non-technical stakeholders
Adaptable in fast-changing environments
Work Schedule: 7AM - 4PM PHT
Work Setup: Remote
