Your Role
As a Sales Support Assistant, you will:
Maintain and audit customer databases, master spreadsheets, and internal tracking systems to ensure 100% data integrity and compliance.
Create, process, validate, and reconcile high-volume invoices tied directly to United Card operations.
Oversee end-to-end gift card logistics, including inventory stock levels, strategic allocations, supplier ordering, and distribution tracking.
Coordinate the lifecycle of United Terminals, managing hardware deployments, warranty replacements, returns, and real-time inventory tracking.
Act as the primary operational liaison for external suppliers and internal stakeholders regarding terminal hardware specifications and technical issues.
Generate complex reports, synthesize data extracts, and build electronic filing architectures to support senior management decision-making.
Identify operational bottlenecks and proactively implement automation or AI-driven solutions to improve team productivity.
What You Need
Non-negotiables
Advanced Microsoft Excel Mastery: Proven ability to build complex models using Pivot Tables, advanced lookup functions (XLOOKUP/VLOOKUP), nested formulas, and macros.
Data Integrity & Reconciliation Experience: Demonstrated success in managing large databases and executing precise financial or transactional reconciliations.
AI Tool Literacy: High proficiency in integrating AI technologies (e.g., ChatGPT, Microsoft Copilot) into daily workflows to accelerate documentation, reporting, and problem-solving.
Inventory & Logistics Administration: Solid background in tracking asset movements, hardware deployments, or stock allocations.
Communication & Time Management: Exceptional verbal and written English skills paired with the ability to prioritize tasks and work independently.
Advanced background in process optimization, particularly migrating manual spreadsheet workflows into automated configurations.
Proven resilience and analytical ability to troubleshoot database mismatches or invoice discrepancies under tight timelines.
Experience creating standardized standard operating procedures (SOPs) for electronic record-keeping and inventory control.
