Your Role

The Purchasing Administrator provides administrative and coordination support to procurement operations by assisting with purchase order processing, supplier coordination, documentation management, and inventory tracking. The role supports timely procurement of operational materials and services required across multiple service sites, ensuring compliance with internal purchasing procedures and service delivery requirements.

This position plays an important role in supporting facilities service operations by helping maintain availability of cleaning supplies, site consumables, uniforms, and equipment used by frontline teams across geographically distributed locations.

Key Responsibilities

  • Assist in preparing and processing purchase orders in accordance with procurement procedures
  • Coordinate with internal stakeholders to validate purchasing requests and requirements
  • Communicate with suppliers regarding quotations, order confirmations, and delivery timelines
  • Track order status and follow up on pending deliveries to ensure timely fulfillment
  • Maintain accurate procurement records, supplier documentation, and purchasing logs
  • Support inventory monitoring and replenishment coordination for operational supplies
  • Assist in resolving discrepancies related to deliveries, invoices, or purchase orders
  • Ensure documentation compliance for audits and internal controls
  • Support vendor onboarding documentation and supplier database maintenance

Job Description

  • Provide administrative support to procurement reporting and cost tracking activities
  • Resolve purchasing-related issues including delivery discrepancies and invoice mismatches
  • Ensure adherence to company procurement policies and budget guidelines

Qualifications

  • Bachelors degree in Business Administration, Supply Chain Management, Logistics, or a related field
  • At least 1–3 years of experience in purchasing, procurement administration, or supply chain support roles
  • Experience supporting multi-site or operations-driven environments is an advantage
  • Strong organizational and documentation management skills
  • Experience working with procurement systems, ERP platforms, or purchasing tools
  • Proficiency in Microsoft Excel and office productivity tools
  • Attention to detail and accuracy in processing transactions
  • Ability to coordinate with multiple stakeholders across operations and finance teams
  • Effective written and verbal communication skills

Preferred Qualifications (If Applicable)

  • Exposure to facilities services, property services, or maintenance operations environments
  • Experience supporting supplier coordination and inventory tracking activities
  • Familiarity with purchase order lifecycle processes and procurement compliance standards
  • Experience working with geographically distributed operational teams
