Job Description

Patient Lead Management

  • Follow up with prospective patients who inquire about clinic services via phone, email, or website.
  • Nurture these leads with care, empathy, and accurate information until they are ready to book an appointment.

Scheduling & Coordination

  • Coordinate with clinic staff to schedule consultations, assessments, or treatments. Ensure appointments are confirmed and follow-ups are completed.

CRM Tracking

  • Maintain accurate records of patient interactions, status updates, and follow-up schedules using
  • CRM tools or lead tracking spreadsheets.

Project Support

  • Track internal clinic projects, campaigns, or service rollouts. Ensure team members meet deadlines and nothing falls through the cracks.

Reporting

  • Provide weekly summaries of patient inquiries, conversion metrics, no-shows, and pending follow-ups to the clinic manager or marketing team.

Communication Liaison

  • Serve as the communication bridge between marketing, front desk, and clinical teams to ensure a seamless patient experience from inquiry to treatment.

General Admin Support

  • Help with calendar management, data entry, patient forms, and basic reporting tasks as needed.

Minimum Qualifications

  • At least 1 year of experience in a similar role, preferably in a clinic, wellness, or healthcare setting.
  • Familiarity with patient engagement, appointment scheduling, or lead nurturing.
  • Strong verbal and written communication skills in English.
  • Proficient with CRM systems, email tools, and online forms (e.g., Google Workspace, IntakeQ, Calendly, GoHighLevel, or similar).
  • Highly organized, responsive, and detail-oriented.
  • Comfortable communicating with both patients and internal clinic staff.
  • Can multitask and manage time effectively in a fast-paced, remote work environment.
  • Preferred Skills
  • Experience working in a wellness, sports medicine, or rehabilitation clinic.
  • Familiarity with HIPAA practices and patient confidentiality.
  • Understanding of how marketing and patient acquisition work in a private practice setting.
  • Empathy-driven approach to patient interaction.
