Job Description

  • Contracts Management
  • Photocopies, scans, uploads documents and furnishes copies to requesting departments when necessary;
  • Examines all documents, contracts and other requirements and ensures that they are complete, in order and properly executed;
  • Coordinates with Legal and Compliance Counsels to ensure that all documents prepared conforms with legal requirements and applicable service level commitments of the Legal & Compliance team;
  • Maintain records of contract templates and executed contracts using approved format and procedures;
  • Assist in contract drafting and review through proofreads, and/or drafting of simple contracts;
  • Identify key service delivery metrics in contracts management services, and develop appropriate measurement methodologies for identified metrics; and
  • Generate reports of identified key metrics and measurement.
  • Land Management
  • Coordinate with Farms Team and other concerned stakeholders in securing all executed contracts and documents;
  • Photocopy, scan and upload executed contracts and other documents;
  • Ensure executed contracts are complete and in order;
  • Monitor release of eCARs, titles, and other documents from concerned government agencies;
  • Updates land management database to ensure that information is accurate;
  • LIaise with external stakeholders and counterparties whose cooperation is critical to transfer of land registration to the relevant Philippine Food Group Entity. As used in this document “Food Group Entity” means Pilmico Foods Corporation and/or its Philippines-based subsidiary and/or affiliates engaged in the business of agribusiness and/or food and nutrition; and
  • File and manage relevant applications for the registration of relevant real estate assets in the name of the relevant Food Group Entity.
  • Legal Compliance Management
  • Assists and supports the Legal and Compliance Team in the preparation of legal documents and requirements;
  • Safekeeps and maintains file of legal documents;
  • Assist in coordinating with internal contacts on updating compliance management reporting and monitoring tools;
  • Case Matter Management
  • Monitor, and prepare reports on progress of actual and/or potential litigation using prescribed reporting and monitoring format and tools;
  • Monitor, and prepare reports of, legal expenses incurred in relation to actual and/or nascent litigation;
  • Assist in the preparation, collection and inventory of relevant evidence for actual and/or nascent cases, using prescribed reporting and monitoring format and tools;
  • Assist in coordinating with internal and external contacts in the preparation, collection and inventory of relevant evidence;
  • Identify key service delivery metrics in litigation management services, and develop appropriate measurement methodologies for identified metrics;
  • Generate reports of identified key metrics and measurement;
  • Attend court and/or administrative hearings, and prepare accurate reports of attended hearings, with focus on accurate recording of action items and relevant dates.
  • General Administrative Support
  • Handle internal administrative processes and requirements relevant to processing of external counsel billings; processing of correct charging of team expenses; processing of team lawyers’ travel arrangements and reimbursements;
  • Assist in the management and maintenance of team lawyers’ notarial books; assist in the delivery of notarial services, and in the preparation of notarial reports;
  • Assist in the processing of team lawyers’ professional licensing requirements, such as but not limited to, PTR and IBP fees payments, MCLE fees payment, MCLE compliance and obtaining MCLE Compliance certificate, and other professional licensing requirements as may be applicable from time to time.
  • Generate reports of identified key metrics and measurement.
  • Other Tasks
  • Performs other related activities that may be assigned by immediate superior.
  • Protects information assets from unauthorized access, disclosure, modification, destruction or interference.
  • Liaise with external contacts and stakeholders as necessary in the delivery of Legal & Compliance team deliverables.
  • Preserves confidentiality of financial information and materials.

As used herein, the term "financial information and material" shall mean all Company information both written and oral which is proprietary to the Company. It shall include without limitation: the companys organization, companys operations, interests and plans, financial documents, business records, business practices and procedures. It also includes external source documents as an integral part of the financial documents.

  • Monitors whether information security discipline is being practiced by the team members in the department.
  • Handles confidential information with utmost discretion.
  • Assist in the preparation of multi-media instructional modules for legal and compliance-related updates and training delivered by the Legal and Compliance Team.
  • Perform such other functions as may be assigned by team leader.

Qualifications

  • Graduate of any four-year course. Graduate of Legal Management preferred, but not required.
  • At least one (1) year experience in paralegal or administrative work.
  • Must be willing to do fieldwork or business trips. Organized in filing contracts and documents. Must be knowledgeable with Microsoft Office and Google Suites
  • Proficiency in data science, collection and analytics is an advantage.
  • Proficiency in multi-media production is an advantage.
