Organizational Setting and Reporting Relationship
The position of Information Resources and Services Analyst (Digital Records Management) is assigned to the Institutional Services Division (CSIS) within the Corporate Services Department (CSD). You will be based at our Headquarters in Manila, Philippines.
You will report to the designated International Staff and Officer of the Records and Archives team.
Your Role
As an Information Resources and Services Analyst (Digital Records Management), you will ensure the efficient management, security, and accessibility of ADBs digital records. You will also support system implementation and promote compliance with ADB Records and Archives management standards.
You Will
- Help manage and maintain digital records and document repository systems in accordance with ADB policies.
- Ensure compliance with ADB Records and Archives management standards, tools, and guidelines.
- Provide input in the development and documentation of procedures and guidelines for digitalRecords and Archives management.
- Support monitoring, maintenance, and continuous improvement of the Electronic Document and Records Management System (EDRMS).
- Contribute to the development of training materials and facilitate user training with technology maturation and the roll out of new features.
- Provide technical support and act as focal point for EDRMS inquiries, diagnosing, and resolving errors (e.g. General System Error, No Retention Label, Mapping issues)
- Prepare reports and analytics on EDRMS usage and compliance.
- Contribute to the implementation of long-term digital preservation strategies to ensure accessibility and usability of ADBs digital records.
- Help ensure digital content is prepared and available for the public opening of ADB archives.
- Perform other related tasks that may be assigned and reflected in your workplan.
You Will Need
- Bachelors degree in archives administration, library science, information management, or related discipline.
- At least 5 years of work experience in digital records management or a similar role, with preference for experience using SharePoint as a document management system.
- Proficient in electronic records management systems and digital archiving, knowledge of digital preservation is advantageous.
- Demonstrated experience in documentation, user support, and training.
- Knowledgeable in information governance, international standards, and best practices in digital records management is advantageous.
- Experience making digital collections available for public consultation is advantageous.
- High level of proficiency in use of relevant computer-based applications.
- Demonstrated good coordination and can collaborate with individuals from different cultural/national backgrounds and can work with teams as a constructive team member.
- Excellent command in verbal and written communication skills in English.

Additional Information
This appointment is open to internal and external applicants.
This is a fixed-term appointment for an initial fixed period of 3 years. At the end of the initial period, this appointment may, at the option of ADB, be extended once for up to 2 years, converted to a regular appointment, or ended on its expiration date. This decision will be made in the overall interest of ADB that: (a) it will require Staffs particular blend of skills and experience in the foreseeable future; and (b) Staffs performance is satisfactory and they are suitable for further employment.
