Your Role
As an HR Coordinator, you will provide administrative and operational support across human resources functions, including onboarding, recruitment, compliance, employee records management, and HR audits. You will help ensure HR processes are efficient, compliant, and deliver a positive employee experience while maintaining accurate and confidential employee information.
Specifically, You Will
- Coordinate new employee onboarding, including preparing documentation, system setup, competency tracking, and onboarding requirements.
- Create, maintain, and update employee personnel files while ensuring accurate and organized documentation.
- Follow up with new hires to obtain outstanding onboarding documents and employment requirements.
- Support recruitment activities by reviewing applications, screening candidates, maintaining applicant records, and assisting with recruitment administration.
- Assist with employee correspondence, HR communications, and general administrative support as required.
- Coordinate travel arrangements, company events, and other administrative activities to support the HR team and business operations.
- Maintain employee compliance records and monitor expiry dates for mandatory certifications, licenses, and employment documents.
- Conduct regular audits of employee files to ensure compliance with employment regulations, company policies, and applicable industry standards, including NDIS requirements.
- Maintain and update compliance trackers using HRIS, Microsoft Excel, SharePoint, and other employee management systems.
- Update employee records promptly upon receipt of renewed certifications, licenses, or compliance documentation.
- Generate monthly compliance and expiry reports while proactively identifying upcoming renewal requirements.
- Support internal HR audits, documentation reviews, policy updates, and continuous process improvement initiatives.
- Maintain the integrity, confidentiality, and accuracy of employee information across all HR systems and documentation.
What You Need
Non-negotiables
- Demonstrated experience administering HR data using Human Resource Information Systems (HRIS) or a completed (or nearly completed) qualification in Human Resources, Business Administration, or a related field.
- Strong understanding of HR administration, employee onboarding, personnel records management, and HR documentation.
- Excellent written and verbal English communication skills.
- Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- High attention to detail with excellent organizational, administrative, and time management skills.
- Ability to manage confidential information with professionalism, discretion, and integrity.
- Passion for Human Resources, employee engagement, and fostering a positive workplace culture.
Preferred Skills/expertise
- Knowledge of Australian employment legislation, Fair Work requirements, SCHADS Award, and HR compliance standards.
- Experience supporting NDIS compliance and workforce documentation.
- Experience conducting HR audits and maintaining compliance registers.
- Familiarity with SharePoint and cloud-based HR and employee management systems.
- Experience supporting recruitment, candidate screening, and onboarding processes.
- Continuous improvement mindset with the ability to streamline HR processes and improve operational efficiency.
