Job Description

The Physical Security Incident Management Department Head is responsible for overseeing and managing all physical security and safety incidents (PSSI) at the BPI Group of Companies. This role ensures the coordination of resolution, immediate handling, and mitigation of incidents affecting the Banks personnel, clients, premises, and assets, from pre-incident planning to post-incident recovery. The Department Head leads the Incident Handling Team (IHT), coordinates with internal and external stakeholders (including LGUs and LEAs), and ensures regulatory compliance to minimize losses and disruptions. The role also includes disaster management, planning and mitigating potential incidents, facilitating recovery, and ensuring a swift return to Business As Usual (BAU).

Responsibilities

  • Ensure all Bank personnel are aware of and comply with procedures for immediate reporting of physical security and safety incidents (PSSI) to the Central Security Office (CSO) in order to maintain a high level of security and safety awareness.
  • Oversee the initial assessment, validation, and containment of reported incidents in order to determine appropriate actions, limit damage, and secure affected premises, ensuring the safety of Bank personnel and clients.
  • Act as the IHT Lead for any PSSI and assist the IMT (Chief Security Officer), in coordination with CSO, HR Safety affected Business Unit representatives, and other necessary stakeholders in order to effectively address and resolve PSSIs.
  • Lead and manage the search and rescue in emergency situations in order to ensure the welfare of employees.
  • Oversee the referral of any PSSI to the investigation team for resolution, ensuring proper notification to authorities (e.g., police, fire, medical services) based on the incidents nature in order to ensure appropriate legal and safety measures are taken.
  • Manage the removal of dangerous or illegal items in coordination with authorities in order to ensure the safety and security of Bank premises and personnel.
  • Ensure communication with BPI Personnel during incidents, maintaining safety and order, and collaborate with Corporate Affairs and Communications in order to handle external communication and media coverage in accordance with the Banks Policy on Communications Plan.
  • Ensure the recording, updating, and closure of PSSI records in the Incident Handling Database (IHDB) and document analysis, treatment actions, and disposition of losses for closed incidents in order to maintain accurate records and facilitate continuous improvement.
  • Coordinate with other Business Units for the normalization of operations post-incident, confirm safety and readiness to resume normal activities, and conduct post-mortem assessments in order to evaluate the handling of incidents, establish preventive measures, and improve incident management processes.
  • Ensure all incident management activities comply with internal policies and external regulatory requirements in order to maintain regulatory compliance and promote continuous improvement initiatives to enhance the Banks physical security and safety frameworks.
  • Conduct regular drills and awareness sessions in order to maintain a high level of preparedness among Bank staff and regularly review and update the Banks physical security and safety policies to reflect lessons learned from incidents and changes in regulatory requirements.
  • Liaise with regulatory bodies and external agencies in order to stay abreast of new regulations and industry best practices and represent the Bank at industry forums and conferences, sharing insights and best practices in physical security and safety.
  • Coordinate with internal departments such as HR, Compliance, Legal, and Facilities to ensure a cohesive approach to incident management in order to streamline response efforts, ensure compliance with policies, and minimize operational disruptions.
  • Provide expert advice and support to branches and business units on physical security matters in order to strengthen security standards, enhance risk awareness, and ensure consistent implementation of protective measures across the Bank.
  • Lead the development of strategic plans to enhance the Banks physical security and safety posture in order to ensure a resilient, proactive, and adaptive security framework that protects people, assets, and operations.
  • Identify emerging threats and trends and develop proactive measures to mitigate potential risks in order to minimize vulnerabilities, strengthen preventive controls, and maintain business continuity.
  • Prepare and present regular reports to senior management on incident trends, response times, and areas for improvement in order to drive informed decision-making, track performance, and support continuous improvement of the security program.
  • Assist the Chief Security Officer to build and maintain strong relationships with key stakeholders, including senior executives, business unit leaders, and external partners in order to foster collaboration, align security initiatives with organizational goals, and ensure coordinated responses to risks.
  • Provide guidance and support to other departments on physical security and safety matters in order to promote awareness, standardize best practices, and empower teams to effectively manage security responsibilities.
  • Perform additional tasks as directed by the Chief Security Officer or his duly authorized representative in order to support the overall security and safety objectives of the Bank.

Qualifications

  • Bachelor’s Degree in any field
  • At least 2 years of experience in Disaster and Incident Management, Regulatory Compliance, Coordination with Law Enforcement, Crisis Management, and Stakeholder Relationship Management
  • At least 3 years of experience in Physical Security Operations, Risk Assessment and Management, Security Program Development, Team Leadership, Strategic Planning, Communication and Media Handling, Project Management, Training and Awareness Program Development, and Policy Development and Implementation
