Join our Risk Management Group Central team in a pivotal support role that helps keep our leadership operations running smoothly. As the dedicated Executive Assistant / Team Assistant, you will provide seamless support, ensuring continuity across key administrative, coordination and operational activities, as well as play an important role in maintaining efficiency, enabling effective collaboration, and supporting business priorities through a Manila-based support model.

What role will you play?

You will provide proactive executive and team administrative support to senior leaders, managing complex calendars, competing priorities, meeting schedules and stakeholder interactions across multiple time zones. You will coordinate end-to-end travel arrangements, accommodation bookings, expense management and purchasing activities, ensuring administrative processes are delivered efficiently, compliantly and cost-effectively. Your responsibilities also include planning and coordinating leadership meetings, team forums and governance cadences by preparing agendas and materials, capturing minutes, tracking actions, and managing follow-up activities to ensure successful outcomes.

You will play a key role in organising and delivering division events, town halls, workshops and team engagement initiatives, overseeing logistics, communications, vendor coordination, and on-the-day support. In addition, you will draft and distribute internal communications and leadership updates, while maintaining key information repositories, SharePoint sites, organisational charts and distribution lists. You will also support onboarding, reporting and operational activities across the team, including coordinating new starters, preparing presentations, producing reports, and ensuring teams have access to accurate, timely and up-to-date information to support effective decision-making and collaboration.

What You Offer

  • 3+ years' experience as an Executive Assistant, Team Assistant, Office Administrator or similar support role within a professional services, corporate or financial services environment
  • Strong organisational and time management skills, with the ability to manage competing priorities, coordinate multiple stakeholders and deliver high-quality outcomes under tight deadlines
  • Excellent written and verbal communication skills, with experience drafting professional communications, preparing presentations and supporting senior leaders
  • High attention to detail and strong administrative capability, including calendar management, travel coordination, expense processing, meeting management and document control
  • Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, SharePoint and collaboration tools
  • A proactive, service-oriented mindset with strong judgement, discretion and the ability to work independently while building effective relationships across global teams.
