The Role
The schedule for this role is Monday to Friday at 9:00 AM to 5:30 PM Eastern Time.
The Family Associate (FA) is responsible for overseeing staff (caregiver) onboarding, HR, training, and compliance documentation for Abbycare’s Office of Developmental Programs (ODP) Home and Community Based (HCBS) program. This role ensures all direct support professionals and applicable staff meet ODP requirements prior to service delivery and on an ongoing basis. The FA maintains audit-ready records, manages training pathways, and collaborates closely with ODP Lead on Quality Management (QM) and workforce readiness, compliance, and continuous training updates.
This role requires strong attention to detail and the ability to manage regulatory documentation. Candidates may be asked to complete a short organizational and documentation exercise during the interview process.
Key Responsibilities
Training Planning, Onboarding & Workforce Readiness
Lead and manage the full onboarding and training lifecycle for caregivers within the ODP program, ensuring staff meet and have documented on file all regulatory and role-based requirements prior to independent service delivery.
Assign individualized training plans based pathway systems in place for the ODP program. Coordinate and schedule hybrid (virtual and in-person) training logistics with internal teams, and track progress through completion.
Provide direct coaching, structured check-ins, and support throughout onboarding to ensure timely completion. Manage ongoing compliance including renewals of certifications and training education for monitoring.
Maintain accurate documentation of training hours in accordance with ODP and waiver standards.
Onboarding & Documentation Management
Collect, review, and maintain all required onboarding documentation for new hires in accordance with ODP provider standards and Abbycare onboarding requirements.
Coordinate and schedule pre-employment and ongoing requirements, including, but not limited to, background checks, clearances, vehicle records, and CPR/First Aid certifications.
Conduct monthly audits of staff files to ensure completeness, accuracy, and regulatory compliance. Collect any recurring document updates per file.
Maintain organized, up-to-date staff records within the designated system, ensuring audit readiness at all times.
Quality, Compliance & Regulatory Oversight
Maintain the QA&I audit spreadsheet provided by ODP Lead, as a living document reflecting training compliance, backgrounds, and hiring document requirements and updates.
Collaborate with Care Coordinator and ODP Lead in Quality Management (QM) to identify training-related gaps stemming from incidents, complaints, or monitoring activities.
Coordinate and oversee any required re-education assigned to DSPs by Care Coordinator and ODP Lead directions and performance concerns.
Caregiver Engagement & Support
Establish consistent communication channels with caregivers via phone, email, and virtual check-ins to foster engagement, accountability, and confidence.
Troubleshoot barriers to training completion, such as scheduling conflicts, technology challenges, or understanding competency expectations.
Be the point of contact for families, individuals and caregivers when care has started and escalate any issues to the right channels as required
Build community among caregivers through peer support groups, educational workshops, and connection to resource networks.
The Requirements
Bachelor’s degree or Associate’s degree with equivalent experience preferred.
2+ years of experience in healthcare, home care, or caregiver support environments
Background in onboarding, HR, credentialing, or training coordination
Prior leadership or supervisory experience
Strong customer-facing communication skills with a professional and empathetic approach
High level of organization and attention to detail
Tech-savvy and comfortable learning new systems
Strong interest in growth and long-term career development
Preferred Qualifications:
Experience with Salesforce or similar CRM systems
Experience working with US-based healthcare teams or clients
Spanish-speaking ability (highly preferred but not required)
