About Our Client

Our client operates in the legal mitigation and behavioral-health coordination space. They provide essential support services that bridge legal expertise with behavioral health solutions. They are seeking a proactive, experienced Executive Assistant to support their CEO in daily operations, client coordination, and internal workflow management. This role is key to improving organizational efficiency and maintaining a high level of service delivery across multiple projects.

Job Summary

The Executive Assistant will work directly with the CEO to manage day-to-day administrative operations, ensure timely client communications, and oversee task coordination across internal systems. You’ll serve as the right hand to the CEO—streamlining processes, supporting CRM and invoicing systems, and coordinating essential communications. A strong background in legal mitigation and behavioral-health-related services is crucial to succeed in this role.

Responsibilities

  • Manage daily communications with clients and team members
  • Maintain and organize the CEO’s calendar, appointments, and task lists
  • Oversee invoicing processes and contract review
  • Administer and automate tasks in the CRM (Keap)
  • Coordinate internal updates and project progress
  • Execute email marketing campaigns and manage contact lists
  • Utilize tools like Word, PDF Filler, and Preview for document preparation
  • Take initiative on tasks without constant supervision
  • Provide flexible support during evenings and weekends as needed


Qualifications

  • 3+ years of experience as an Executive Assistant
  • Proven experience in legal mitigation or behavioral-health coordination
  • Advanced skills in email marketing and CRM (specifically Keap)
  • Proficiency in Microsoft Word, PDF Filler, ChatGPT, and Preview
  • Strong communication and organizational skills
  • High attention to detail and problem-solving abilities
  • Self-motivated with critical thinking and adaptability
  • Comfortable managing multiple projects/accounts simultaneously
  • Native or near-native fluency in English
  • Available to work 2 PM – 7 PM PST, with flexible scheduling and frequent evening/weekend availability
  • No degree or certifications required, but relevant experience is essential


Additional Skills (Preferred But Not Required)

  • Familiarity with legal documentation formats
  • Experience coordinating behavioral-health service providers
  • Background in remote assistant roles for senior executives
  • Ability to create basic SOPs or training documents
