The Desktop Occupational Therapist (Non-Clinical) provides essential non-clinical support to Sensible Cares Occupational Therapist and Care Partners. The role ensures that OT recommendations—such as assistive technology, equipment and home modifications—are actioned promptly, accurately and in alignment with SaH requirements.

This Is Not a Clinical Role. The Desktop OT

  • Does not conduct face-to-face assessments
  • Does not perform regulated clinical tasks or prescribe equipment
  • Does not make clinical decisions

Instead, the Desktop OT provides structured administrative, coordination and documentation support to enhance efficiency, compliance and the client experience.

Key Responsibilities

  • OT Report Coordination & Documentation Support
  • Review OT reports for clarity, structure and consistency (non-clinical review only).
  • Suggest administrative edits based on Care Partner feedback.
  • Maintain a live tracker of all OT assessments, including which were completed face-to-face.
  • Upload reports, follow document workflows and ensure correct filing in out compliance software Visual Care.
  • Assist with ensuring documentation meets SaH requirements.
  • Assistive Technology & Equipment Coordination
  • Prepare quote requests for OT-approved equipment and assistive technology.
  • Liaise with suppliers to obtain quotations, delivery timeframes and product information.
  • Track equipment recommendation status from request to delivery.
  • Ensure Care Partners and the Australian OT team receive timely updates.
  • Maintain a comprehensive equipment tracking register.
  • Home Modification Coordination
  • Contact builders and trades to obtain quotations for OT-recommended home modifications.
  • Arrange site visit schedules with clients, builders and Care Partners.
  • Ensure quotes are properly itemised and aligned with SaH guidelines.
  • Check that proposed costs remain within the clients budget allocation.
  • Maintain a live modifications tracker and follow progress through to completion.
  • Stakeholder Communication & Liaison
  • Communicate professionally with suppliers, builders, Care Partners and the OT team.
  • Provide timely updates across all coordination tasks.
  • Maintain clear, concise written documentation of all interactions.
  • Support the Australian OT team with administrative preparation for reports and workflows.
  • Reporting & Workflow Management
  • Maintain dashboards and tracking systems covering:
    • OT assessments
    • Report status
    • Equipment procurement
    • Modification timelines
    • Budget utilisation
  • Provide weekly and monthly workflow reports to the Australian OT and CEO.
  • Escalate delays promptly and recommend process improvements where appropriate.
  • Compliance & Quality
  • Ensure all administrative practices align with Support at Home program rules.
  • Uphold confidentiality, data security and privacy standards at all times.
  • Maintain accurate and well-organised digital records.
  • Support audit readiness and quality improvement activities within the Allied Health team.
Required

  • Bachelors Degree in Occupational Therapy
  • Strong English written and verbal communication skills.
  • High level of administrative coordination ability.
  • Strong organisational skills and thorough attention to detail.
  • Ability to manage multiple tasks and deadlines in a remote environment.
  • Proficiency with digital tools, tracking systems and document management.
  • Stable internet connection and suitable work-from-home setup.
  • Willingness to work Australian business hours.
