SnappyCX is seeking an experienced Compliance Coordinator to join its client’s care team. This is a fully onsite, full-time position. The Compliance Coordinator is responsible for ensuring that all active caregivers within their assigned facilities remain compliant with Federal, State, and local public health regulations, as well as Department of Health (DOH) and agency requirements. This includes maintaining up-to-date employee health and certification documentation, coordinating timely renewals, and ensuring the agency consistently meets contractual and regulatory obligations.
Key Responsibilities:
1. Document Compliance & Follow-Ups
Monitor assigned caregivers for upcoming expirations of physicals, TB tests, certifications, and other required documents.
Set up and manage reminders (minimum 45 days before expiration) and maintain accurate tracking in BlueSky.
Contact caregivers proactively to obtain renewed documentation; increase follow-up frequency if deadlines approach.
Upload received documentation promptly and accurately into the caregiver’s file.
Provide friendly reminders during routine communication for documents expiring within 3 months.
2. Reporting & Monitoring
Run and review monthly “to-expire” and “expired” reports to ensure all caregivers have active reminders and compliance follow-ups.
Correct any missing or inaccurate information within assigned caregiver files.
Participate in periodic compliance audits conducted by the Compliance Manager.
3. Non-Compliance & Inactivation
Notify Staffing Coordinators and Managers 10 days prior to document expiration if caregiver compliance is not met.
If documents expire, update caregiver status to “Inactive – Noncompliant” within 24 hours and notify the staffing team.
Support enforcement of scheduling restrictions for noncompliant caregivers.
4. Retention Status Coordination
Manage “Retention” status for caregivers temporarily inactive but expected to return to work.
Communicate any status changes between Compliance and Staffing teams to ensure consistent tracking.
5. Additional Responsibilities
Respond to facility or vendor audit requests and provide required documentation promptly.
Perform thorough annual file reviews to maintain accuracy and completeness.
Collaborate with Staffing, HR, and Compliance leadership to ensure seamless coordination and adherence to policy.
Education & Experience
Bachelor’s Degree: Degree in Human Resources, Business Administration, Healthcare Administration, Nursing, or a related field is preferred. (Graduates of Allied Health courses are highly encouraged to apply.)
Relevant Experience: Minimum of 1–2 years of experience in Healthcare Credentialing, Compliance, Human Resources, or a BPO Healthcare Support role.
US Healthcare Knowledge: Familiarity with US healthcare compliance standards (Joint Commission, DOH regulations, HIPAA) is a strong advantage.
Technical Skills
Software Proficiency: Strong proficiency in Microsoft Office Suite (specifically Excel for reporting) and Google Workspace.
System Experience: Experience using BlueSky or similar Staffing/Credentialing software (e.g., Bullhorn, MatrixCare) is highly desirable.
Data Management: Proven ability to manage large databases, upload documents accurately, and maintain digital filing systems.
Key Competencies
Attention to Detail: Exceptional accuracy in auditing files and spotting expired or incorrect dates on documentation.
Communication: Excellent verbal and written English communication skills. You must be comfortable calling and emailing caregivers to follow up on missing documents assertively yet professionally.
Organization: Ability to manage multiple timelines (45-day, 30-day, 10-day reminders) and prioritize tasks effectively without supervision.
Problem Solving: Ability to identify non-compliant files and coordinate quickly with Staffing and HR to resolve issues before they affect operations.
Operational Requirements
Work Arrangement: Must be willing to work 100% onsite in Manila, Philippines.
