About The Role

The Chief of Staff — Execution & Operations serves as the COO’s execution partner, ensuring that priorities translate into concrete action across the organization.

This role is ideal for a highly organized, assertive mid-career operator who can drive follow-through across departments, maintain operating cadence, and ensure leaders deliver on commitments.

The Chief of Staff does not create strategy or manage departments. Instead, they ensure that decisions made by leadership are executed, tracked, and completed.

Success in this role is measured by execution velocity, reliability, and organizational stability — not by administrative output.

Key Responsibilities

Organizational Execution & Follow-Through

Drive progress on COO priorities across functions.

  • Translate COO directives into clear actions
  • Assign owners and deadlines
  • Track progress to completion
  • Follow up consistently on commitments
  • Escalate risks early

Operating Cadence Management

Establish and maintain a predictable rhythm for the organization.

  • Set up recurring leadership meetings and reviews
  • Ensure agendas, inputs, and outputs are clear
  • Track action items from each session
  • Maintain continuity between meetings

Accountability & Commitment Tracking

Ensure agreed actions actually happen.

  • Maintain a centralized tracker of key initiatives and commitments
  • Prompt leaders for updates and deliverables
  • Challenge missed deadlines constructively
  • Surface unresolved issues to the COO

Decision Velocity Support

Reduce delays caused by slow feedback cycles.

  • Track pending decisions and approvals
  • Gather required inputs from stakeholders
  • Ensure feedback is returned within agreed timelines
  • Prevent initiatives from stalling

Reporting Discipline & Dashboard Truth

Maintain reliability of organizational data and reporting.

  • Prompt leaders for regular reports
  • Follow up on missing or incomplete submissions
  • Coordinate with BI team to maintain accurate dashboards
  • Flag inconsistencies or risks

Critical Operational Threads

Support initiatives that directly affect revenue and delivery.

  • Track contracts, renewals, and key obligations
  • Monitor cross-functional projects
  • Ensure handoffs across teams occur smoothly
  • Coordinate response during urgent issues when needed

COO Proxy Support

When delegated, represent the COO in internal meetings.

  • Communicate priorities clearly
  • Align stakeholders
  • Drive decisions toward closure
  • Report outcomes back to the COO

Qualifications

Required

  • Bachelor’s degree in Business, Operations, Engineering, or related field
  • 3–6 years of experience in operations, consulting, program management, or startup environments
  • Strong organizational and time-management skills
  • Clear written and verbal English communication
  • Comfortable working with senior leaders
  • High reliability and responsiveness
  • Willingness to work closely with the COO in a hybrid setup

Preferred

  • Experience in fast-growing companies or BPO environments
  • Exposure to revenue-driven operations
  • Familiarity with task-tracking or project-management tools (Notion, ClickUp, Asana, etc.)
  • Basic data literacy and comfort with dashboards
  • Experience coordinating cross-functional initiatives

Not responsible for performance coaching

Not responsible for hiring coordination or recruitment operations

Not responsible for creating board decks or executive presentations

Work Set-Up And Requirements

  • Hybrid role: regular in-person working sessions in Metro Manila (COO Home Office)
  • Flexible hours may be required depending on operational needs
  • Desktop/laptop with Intel i5 (10th gen) or higher, 8GB RAM minimum
  • Minimum 25 Mbps internet with backup connection
  • Backup power supply for at least 8 hours
