The Role
We are seeking a highly organized, compassionate, and proactive Care Operations Associate to support families throughout their caregiving journey. In this role, you will help coordinate documentation, onboarding, training, and operational processes that enable families to successfully access and navigate care services.
As a key member of the Care Operations team, you will serve as a trusted point of contact for families, guiding them through documentation requirements, training milestones, and administrative processes while collaborating closely with clinical, operations, and support teams. This position requires strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment.
What You'll Do
Family Support & Care Coordination
Guide families through onboarding, training, and care-related processes.
Serve as a primary point of contact for families via phone, email, and text.
Provide compassionate support and clear communication throughout the family journey.
Follow up with families to ensure timely completion of required tasks and milestones.
Documentation & Compliance Management
Collect, review, and track required documentation from families and caregivers.
Ensure documentation is accurate, complete, and compliant with applicable healthcare and regulatory requirements.
Monitor document expirations and proactively coordinate renewals and updates.
Maintain organized records and documentation tracking systems.
Operations & Cross-Functional Collaboration
Coordinate with operations, clinical, onboarding, and support teams to facilitate family admissions and ongoing care processes.
Track progress across multiple workflows and ensure timely completion of operational tasks.
Help identify and resolve barriers that may delay onboarding, training, or service delivery.
Contribute to process improvements that enhance the family experience and operational efficiency.
Community & Engagement
Support initiatives that foster engagement and connection among families.
Assist with coordinating educational sessions, events, and community-building activities.
Help families access resources and navigate healthcare-related processes with confidence.
Qualifications
Required
2+ years of experience in customer service, administrative support, healthcare operations, care coordination, or a related field.
Strong verbal and written English communication skills.
Exceptional organizational skills and attention to detail.
Ability to manage multiple priorities, deadlines, and follow-up activities simultaneously.
Professional, empathetic, and patient communication style.
Familiarity with HIPAA and healthcare privacy standards.
Preferred
Experience in healthcare operations, caregiver support, patient services, or care coordination.
Experience with prior authorizations, documentation collection, or healthcare onboarding processes.
Experience handling high-volume inbound and outbound calls.
Familiarity with Medicaid, healthcare documentation requirements, or healthcare compliance processes.
Experience using CRM systems, Google Workspace, Slack, Salesforce, or similar tools.
