Role Purpose
This role supports the business across compliance, fund operations, and office administration. The position is designed for a detail‑oriented, highly organised professional who is comfortable operating in a regulated environment and contributing across multiple functions in a small, high‑performing team.
The Role Plays a Key Part In
ensuring the efficient day‑to‑day administration of the office,
supporting AFSL and trustee compliance obligations, and
assisting with investment fund establishment and ongoing operations.
Key Responsibilities
Office Administration & Business Support
Act as the first point of contact for administrative queries and office coordination
Provide secretarial and administrative support to senior staff
Manage document control, filing systems, and internal records
Maintain office organisation, supplies, and general office operations
Coordinate scanning, formatting, document production, and record management
Support continuous improvement of administrative processes and workflows
Handle sensitive information with discretion and confidentiality
Undertake ad‑hoc administrative and operational tasks as required
Compliance & Regulatory Support
Assist with compliance obligations under the Corporations Act and AFSL framework
Support onboarding of new funds, authorised representatives, and investors (including AML/CTF checks)
Maintain and update compliance registers
Assist with preparing materials for Compliance Committee and Investment Committee meetings
Review marketing and client‑facing materials for compliance
Assist with ASIC filings, registrations, and licence variations
Conduct internal compliance reviews and assist with audits
Manage external complaints and assist with issue resolution
Support internal compliance training and policy maintenance
Assist Legal Counsel and senior compliance staff as required
Fund Operations & Trustee Duties
Assist with the establishment of new investment funds, including preparation of scheme documentation
Coordinate fund set‑up requirements (bank accounts, tax registrations, service providers)
Liaise with fund administrators, auditors, lawyers, brokers, and other service providers
Support execution of transactions, including due diligence review and payment processes
Review fund mandates and monitor adherence to investment parameters
Review monthly performance and reporting packs, including transaction‑level detail where required
Identify operational and investment risks and escalate to relevant committees
Assist with fund governance, trustee obligations, and ongoing operational oversight
Support preparation of proposals, reports, and operational documentation

Essential Requirements
Degree in Commerce, Law, Business, or a related discipline (or equivalent experience)
Interest or experience in funds management, financial services, or regulated environments
Familiarity with the Corporations Act and managed investment schemes (desirable)
Strong computer literacy, particularly Microsoft Office (Excel, Word, PowerPoint)
Experience with document control, registers, and structured record‑keeping
Ability to handle confidential and sensitive information
National Police Clearance (or willingness to obtain)
Desirable
Exposure to global equities, debt, private equity, or digital asset funds
Experience supporting compliance or operational functions in an AFSL or trustee environment
Familiarity with SharePoint, Teams, and internal workflow systems
Interest in using technology and AI tools appropriately to enhance productivity
Additional Notes
Onsite: Willing to work onsite either Eastwood/Alabang/Pampanga/Cebu PH (depending on staff preference)
Schedule: 8AM - 5PM or 7AM - 4PM PH time
