Role Overview
The HR Operations Service Centre function is critical to the operation of HR and integral to the effective support of employee lifecycle processes. Working closely with the APAC HR teams to ensure core HR processes are executed efficiently and accurately, and that employee questions are handled correctly, with depth in Hong Kong operations while also supporting other key APAC locations.
Role Responsibilities
- Manage the APAC employee and contingent worker JMSL process, ensuring timely completion. This includes obtaining the necessary approvals and documentation, as well as ensuring workers are properly onboarded and offboarded in the HRIS system (Workday)
- Ensure smooth onboarding and offboarding of employees in Workday, coordinating with relevant departments (IT, Facilities, Finance).
- Maintain strong documentations of all HR operational work, ensuring that standard operating procedures are upkept
- Ensure HR processes and documentation comply with local regulations, and tax requirements.
- Manage the probation period process including notifying the line manager of probation end dates, seeking feedback and generating paperwork as required; escalating issues to the HR Advisory Team as appropriate
- Transact high volumes of inputs and changes to the HRIS system (Workday) with accuracy and timeliness
- Manage the background screening for new and existing employees; initiating the screening process, liaising with the screening provider to collate the required information/documentation, monitoring and providing updates to the business and working with the Compliance Team where necessary
- Handle all written reference requests for information relating to the employment of existing and previous employees including mortgage/rental references and employment references. Where necessary, working with Legal, Compliance and HR colleagues to provide efficient regulated references within the required deadlines
- Assist with the distribution of new hire Welcome Packs within APAC
- Assist with the absence management process, ensuring accurate records and timely follow-ups
- Support audits and internal reviews to ensure ongoing compliance with local labour laws and internal controls
- Providing support to employee enquiries, escalating to other HR Teams where needed
- HR initiatives – Support both global and regional HR project as assigned

- Strong organisational skills with excellent attention to detail, ensuring accuracy and efficiency in all tasks
- Skilled at managing multiple tasks and prioritizing competing demands effectively
- Process management and process improvement oriented
- Experience in preparing accurate and compliant employee documentation as required
- Adaptable and able to thrive in a fast-paced HR environment with dynamic and constantly evolving demands.
- Ability to work effectively within a team as well as independently
- Service oriented, providing excellent and efficient interpersonal and written communication skills
- Demonstrate a desire and aptitude to learn and develop
- Skilled in Microsoft application software (Word, Excel, Outlook, PowerPoint etc.)
