ROLE OVERVIEW:
The Property Management Assistant provides comprehensive operational, administrative, and portfolio support for property management activities during Australian business hours. Working closely with the property management team, this full-time role takes ownership of high-volume client and tenant communications, digital record-keeping, listing accuracy, basic accounting inputs, and routine property coordination. The ideal candidate thrives in an organized, remote environment, using tools like Manage App and Xero to keep daily operations running accurately and efficiently.
RESPONSIBILITIES:
Property & Operational Administration: Maintain organized digital property files, track key operational dates and follow-ups, and coordinate daily administrative tasks across long-term rentals, boarding houses, and short-term accommodations.
Property Listings Management: Create, update, and manage property descriptions, photos, pricing, and availability across rental platforms, ensuring accurate and professional online representation.
Tenant & Client Communication: Serve as a primary point of contact for routine inquiries via email and messaging platforms, documenting discussions, tracking actions, and ensuring zero communication gaps.
Platform & System Maintenance: Use Manage App as a central platform to maintain accurate tenant/property data, manage workflow tasks, and ensure clean, reliable database records.
Financial & Accounts Support: Assist with basic property-related financial administration, including invoice tracking, simple reconciliations, and routine data entry using Xero and spreadsheets.
Stakeholder & Task Coordination: Organize calendars, schedule appointments, coordinate inquiries with internal team members or contractors, and follow outstanding actions through to completion.
Proven professional experience in property management, real estate administration, accommodation services, or a closely related support role.
Excellent written and verbal English communication skills, with absolute confidence in conducting direct client and tenant interactions.
Strong organizational capability, demonstrated ability to multitask across multiple properties, and high attention to detail for data entry.
Proficiency in digital tools, including Microsoft Office / Google Workspace, Excel / Google Sheets, and standard scheduling and email software.
Ability to work independently and self-manage tasks within a remote team framework during Australian business hours.
PREFERRED:
Hands-on experience using Manage App for property records and workflow management.
Direct background managing Australian long-term rentals, boarding houses, or short-term holiday accommodations.
Familiarity with Xero or basic property bookkeeping and financial entry.
Experience liaising directly with maintenance contractors and managing property-related repair requests.
