Position Overview

The Project Estimator / Project Coordinator will support pre-construction and project execution activities for multifamily construction projects. This role is responsible for preparing accurate cost estimates, coordinating project documentation, supporting procurement and scheduling activities, and assisting project teams in maintaining project timelines, budgets, and compliance requirements.

Project Coordinator Responsibilities

1. Project Documentation and Administration

  • Create, process, and track purchase orders and change orders according to project requirements.
  • Assist with invoice processing and verify accuracy against contracts and project budgets.
  • Organize, maintain, and track project documentation, including:
    • Contracts
    • Permits
    • Compliance records
    • Submittals
    • Project correspondence
    • Other essential project documents
  • Maintain organized project records and ensure documentation remains accessible and up to date.

2. Project Scheduling and Coordination

  • Support project teams in scheduling activities, tracking deadlines, and monitoring key milestones.
  • Coordinate with subcontractors, vendors, and suppliers regarding deliveries and logistics.
  • Assist with the development and maintenance of project schedules and timelines.
  • Help ensure project activities remain aligned with overall project goals and deadlines.

3. Procurement and Logistics Support

  • Assist in reviewing and processing submittals for procurement activities.
  • Support procurement of materials, equipment, and services required for construction projects.
  • Monitor material deliveries and inventory to minimize delays and shortages.
  • Communicate regularly with suppliers and vendors to ensure compliance with project requirements and quality standards.

4. Project Tracking and Reporting

  • Provide regular project status updates to internal stakeholders.
  • Support budget tracking and expenditure monitoring.
  • Assist with cost reporting and financial documentation.
  • Prepare project reports highlighting key metrics, milestones, and project performance indicators.

5. Quality Control and Compliance

  • Assist with preparation and tracking of Requests for Information (RFIs).
  • Support quality assurance and quality control processes.
  • Monitor site inspection reports and track resolution of identified issues.
  • Help ensure compliance with contractual, regulatory, and project-specific requirements.

6. Administrative Support

  • Provide administrative assistance to Project Managers, Assistant Project Managers, and Project Engineers.
  • Coordinate meetings, maintain meeting notes, and distribute project communications.
  • Manage project correspondence and support day-to-day project operations.
  • Assist with tracking project progress and maintaining communication among project stakeholders.

Preferred Candidate Profile

The ideal candidate has a strong blend of construction estimating and project coordination experience within a General Contractor environment, particularly supporting multifamily residential projects. They should be comfortable working with U.S. construction projects, interpreting plans and specifications, performing quantity takeoffs, coordinating project documentation, and supporting project teams from pre-construction through execution.

Estimator Requirements

Education

  • Bachelors degree in Construction Management, Engineering, Architecture, or a related field preferred.

Experience

  • 4-5 years of General Contractor (GC) estimating experience.
  • Minimum of 3 years of experience estimating U.S.-based construction projects.
  • Experience estimating across multiple CSI divisions.
  • Multifamily (apartment) estimating experience preferred, including projects with 150+ residential units.
  • Experience working on large-scale multifamily developments; project values exceeding $50M are preferred but not required.

Software Proficiency

  • Advanced proficiency in Microsoft Office, particularly Excel.
  • Experience using estimating and bidding software.
  • Experience with takeoff software is required; specific platform experience is flexible.
  • Experience with bidding platforms such as BuildingConnected or equivalent is preferred.

Estimator Key Responsibilities

  • Maintain knowledge of construction practices, safety requirements, building systems, codes, and industry standards.
  • Read and interpret construction drawings, plans, specifications, reports, and related project documents.
  • Perform quantity takeoffs for multifamily and podium-style construction projects.
  • Develop and maintain estimates, clarifications, assumptions, and budget documentation.
  • Analyze subcontractor and vendor bids, level proposals, and resolve pricing discrepancies during the bidding process.
  • Validate project budgets through collaboration with subcontractors, suppliers, and historical cost data.
  • Participate in design coordination meetings and collaborate with internal project teams.
  • Support value engineering initiatives through close coordination with design teams and trade partners.
  • Assist in identifying cost-saving opportunities while maintaining project quality and scope requirements.
