We are looking for an Executive Admin to join our team. In this role, you will provide proactive support to LNRT&IP senior leaders while also taking ownership of operational and project-based activities. You will handle highly confidential and sensitive information and work efficiently and effectively in a professional, global environment.
This role combines high-quality executive support with ownership of broader business activities. In addition to managing core executive administration, the successful candidate will be expected to proactively coordinate initiatives, follow through on actions, improve ways of working, and independently drive assigned deliverables to completion. The successful candidate will be equally comfortable managing the day-to-day details of executive support and stepping back to coordinate broader priorities, projects, and follow-through.
This position will report to the Employee Experience Manager for LNRT&IP and be part of the broader Employee Experience (EX) team.
Accountabilities:
- Provide proactive executive support to assigned LNRT&IP senior leaders, which may include supporting multiple executives depending on business needs and the broader EA support model.
- Proactively manage complex and evolving executive calendars, balancing competing priorities, recognizing differing time zones across global colleagues, customers, and stakeholders, and identifying the optimal schedule.
- Anticipate the business needs of supported executives and proactively identify upcoming priorities, deadlines, requests, and actions requiring attention.
- Manage domestic and international travel arrangements and coordinate the pre-planning of trips with internal and external stakeholders.
- Process expense reports, invoices, reimbursements, and other administrative requests accurately and in a timely manner.
- Serve as a key point of coordination between senior leaders and internal and external stakeholders, exercising sound judgment in managing priorities, requests, and competing demands.
- Coordinate recurring leadership meetings and operating rhythms, including agenda preparation, meeting logistics, action tracking, follow-ups, and distribution of relevant materials.
- Track actions and commitments arising from executive and leadership meetings and proactively follow up with owners to support timely completion.
- Support the coordination and tracking of cross-functional administrative and operational projects, including timelines, milestones, actions, and deliverables.
- Support executive-led initiatives by coordinating stakeholders, maintaining visibility of progress, identifying dependencies, and ensuring agreed actions move forward.
- Maintain project documentation, summaries, status updates, trackers, and other materials that support visibility and alignment across teams.
- Identify opportunities to streamline workflows, improve processes, and enhance the efficiency and effectiveness of executive and administrative support.
- Support the planning and coordination of leadership meetings, team events, offsites, town halls, and other executive-sponsored activities as required.
- Partner closely with the broader EA team to provide seamless coverage, share workload during peak periods or absences, and ensure consistent support across the Senior Leadership Team.
- Resolve routine to complex inquiries proactively and independently, exercising maturity, resourcefulness, discretion, and sound judgment.

- You are collaborative and comfortable operating as part of an EA team, providing and receiving backup support as business needs require.
Qualifications:
- Bachelor's Degree holder
- Minimum of 3–5 years of relevant executive administrative, business operations, project coordination, or similar experience, preferably within a global or matrixed organization.
- Demonstrated experience supporting senior executives; experience supporting C-suite or enterprise leadership is preferred.
- Experience working within a shared services environment is an advantage.
- Strong organizational skills with demonstrated ability to manage multiple priorities and support project-related workflows in a fast-paced environment.
- Demonstrated ability to handle confidential information appropriately, exhibiting diplomacy, professionalism, and discretion at all times.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and demonstrated ability to work collaboratively with peers, senior leaders, and employees across different functions, cultures, and backgrounds.
- Strong ability to work collaboratively with other Executive Admins, particularly during busy periods or in the absence of another team member.
- Superior attention to detail and accuracy, with demonstrated ability to prepare, proofread, organize, and manage materials while meeting deadlines and identifying items requiring executive attention.
- Ability to remain focused, efficient, and effective while managing multiple priorities and proactively following assignments and projects through to successful completion.
- Highly proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Experience using Concur or a related travel planning tool is a plus.
- Experience using Oracle Fusion or a similar expense management tool is a plus.
